Schedule: Daily schedules are typically 8:00 am to 5:00 pm.
Work Location: Company headquarters in Springfield, OR
Compensation: $22.00 to 25.00 per hour.

QUALIFICATIONS - Education: High school diploma or equivalent.
- Experience : Prior experience in reception, administrative, or accounting roles (2 years preferred).
- Pre-employment drug test: Successful completion of pre-employment drug test, including marijuana screening.

KEY JOB RESPONSBILITIES Front Office Coordinator Tasks: - Answers and manages incoming phone calls, ensuring effective communication within the organization.
- Greets and assists visitors at the front desk, creating a welcoming atmosphere while insuring they’re directed to the correct department and announced appropriately.
- Handles daily mail efficiently and ensures it reaches the correct recipients.
- Maintains the professional appearance and organization of the office space.
Accounts Receivable Tasks: - Downloads daily rock quarry transactions from remote scale software and uploads to ERP (Vista by Viewpoint).
- Communicates with quarry operators to resolve discrepancies in daily transactions (voiding tickets and correcting mis-keyed entries).
- Processes customer credit applications.
- Prepares and mail invoices for rock sales bi-monthly (1st & 16th of each month).
- Prepares haul vendor invoices for third-party haulers.
- Addresses customer inquiries regarding invoices and account status.
- Assists quarry operators in troubleshooting onsite scale technology and coordinate with technology vendors to resolve issues.
- Records daily deposits in the company’s ERP system (Vista by Viewpoint).
Document Control Tasks: - Collects, processes, and digitally file project documentation.
- Resolves discrepancies in job file reporting through effective communication with equipment operators, project leads, and material vendors.
- Enters job data into Excel and uploads it to the company’s ERP system (Vista by Viewpoint).
- Downloads data from seismographs (specialized instrument measuring ground and air vibrations) and prepare seismogram records.
- Prepares job files for billing.
