This role provides a full range of administrative support to the management team and staff of Facilities Services at CGCC. Tasks (both general and confidential) will include general administrative tasks including, but not limited to, correspondence, telephone, scheduling, work order system management, budget and procurement, vendor management, general inventory, project research, facilitates reporting (development and presentation) and maintenance scheduling. The role is varied and broad in all that it encompasses.
40% - Prepares and/or edits departmental narrative or statistical reports, procurement ledgers and requisitions including reconciling vouchers, presentations, schedules, handbooks and promotional materials; processes and monitors FMS requests and reports for various services, programs, supplies, mail, activities, official functions, etc.; maintains office supplies and equipment
30% - Assists with projects and activities, such as work request processing, staffing schedules, project evaluations and meetings; participates with staff in planning departmental activities; arranges meetings and (maintenance and non-maintenance) materials acquisition for staff, acts as liaison with other College and District departments and outside organizations 10% - Greets visitors and responds to inquiries requiring a detailed knowledge of policies and procedures regarding the College and Administrative Office; takes minutes for facilities and college meetings; provides research on special projects
10% - Assists with maintenance programming and planning associated with systems (Routine, Planned, Preventative, Emergency)
10% - Attends departmental, college and/or district meetings/training; performs other related duties as assigned
Associate's Degree from a regionally accredited institution and (2 years) two years of full time equivalent experience in an administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR
High school diploma/ GED and (4 years) four years of full time equivalent experience in an administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
AND
Drivers License will be required .
1. Proficient familiarity with work request processing and review of work report compilation for adherence to SOP.
2. Highly skilled in Procurement processes, including requisitions, reconciliation of vouchers, associated procurement policy and budget management.
3. High degree of campus operational knowledge for acquisition and distribution of information to assist in management of operational needs and emergency procedures and situations.
4. Highly skilled in District and College Policies and Procedures related to department operation.
5. Service oriented mentality and presentation in dealing with in-house staff and campus community user groups.
