About the DuPage Symphony Orchestra
The DuPage Symphony Orchestra (DSO) is a 501(c)(3) not-for-profit organization whose mission is to inspire and enrich the hearts and minds of the greater DuPage County area through musical excellence, educational programs, and community outreach.
Reporting to the General Manager of the DSO, the DSO Office Manager/Marketing Assistant is responsible for the day-to-day office functions of the DSO’s office and Box Office, coordinates logistics for and attends orchestra concerts and community outreach initiatives. The Office Manager also designs and schedules most marketing and social media materials, including the creation of graphics, promotions, and eblasts.
Part-time, non-exempt position
The DSO Office Administrator is a part-time, non-exempt position that offers no insurance or retirement benefits. The typical work week is expected to average 20 hours. However, in recognition that some weeks may require more hours than others due to performances and other activities, the Office Manager/Marketing Assistant is expected to use flex time, so that total hours worked in any given month averages 20 hours per week. Hours are not to exceed 40 hours in one week.
This position is eligible for two weeks of paid vacation per year.
Except for music performances and community outreach activities where the Office Manager/Marketing Assistant’s presence may be required, this position can be performed from home. The preferred candidate resides in DuPage County, IL., or an adjoining county.
JOB DESCRIPTION
DSO Box Office hours: Tuesday-Friday, 10:00 AM – 3:00 PM
Some nights and weekends required
GENERAL RESPONSIBILITIES:
Office Management:
- Manage and respond to DSO Box Office phone, written, and email communications.
- Manage general DSO office functions such as, but not limited to, communication with patrons and board directors, maintain DSO files/documentation, order supplies, etc.
- Responsible for the maintenance, storage, retrieval & return of DSO equipment kept in the DSO’s storage locker (Lisle, IL) for concerts/events.
- Maintain relevant databases and email lists to capture information about donors, subscribers, and single ticket purchasers.
Patron Services:
- Co-manage annual season subscription sales and single ticket sales process, set up ticketing platforms, track, report and maintain sales data and working to promote the season via social media.
- Handle distribution of complimentary tickets such as those donated/offered to local schools and other non-profits and community organizations.
- Help identify and research potential recipients of such complimentary ticket offers consistent with our Educational Partnership & Community Engagement Committee goals.
Concert Logistics:
In partnership with the General Manager:
- Ensure proper front of house coverage for all DSO events, including coordinating the set up and staffing of the Patron Services table with student interns, collaborating with the board and volunteers to recruit/train ushers.
- Order/arrange for the pick-up flowers and other materials required at performances.
- Pick up program books and marketing materials.
- Coordinate logistics, including ticketing and live streaming as needed, for various Chamber and small group performances in a variety of DuPage County area venues, such as local libraries, public or private park pavilions, senior housing, etc.
- Arrange housing and transportation for guest artists, in conjunction with Music Director and the artist’s agent.
- Supports execution of youth-focused initiatives such as our Young Artist Auditions and Open Dress Rehearsals by collaborating with the Music Director and Educational Partners & Community Engagement Committee to manage relevant program logistics and coordinate with key corporate sponsors, supporters and volunteers.
Marketing Assistant:
In coordination with the General Manager and Marketing Committee,
- Create eblasts and graphics for social media postings, utilizing Canva, Constant Contact, and Buffer.
- Respond to patron comments on social media.
- Help plan and assist at fundraisers and other special events.
Recommended Skills:
- Associate’s degree required (Bachelor’s degree preferred).
- 2+ years of project management experience; strong administrative skills and attention to detail.
- Strong communication, organizational, and interpersonal skills; ability to prioritize tasks and work independently.
- Strong writing and proofreading skills; narrative and story-telling skills deesired.
- Experience using Word, Excel, Outlook, etc. with expertise in database entry and reporting.
- Previous Box Office and House Management or not-for-profit (NFP) experience strongly preferred.
- Knowledge of social media platforms (Facebook, Instagram, Linked In, Twitter, YouTube), Constant Contact, and Buffer.
- Experience with website maintenance preferred but not required.
- Comfortable working with technology and a quick learner; able to pivot from task to task.
- Artistic skills, an eye for design, and a love for the performing arts strongly recommended.
Job Type: Part-time
Pay: From $18.00-20.00 per hour
