George Fox University's School of Communication & Design is looking for a motivated and organized multi-tasker to join our team as a part-time Administrative Assistant.
About the Job:
The Administrative Assistant is an essential part of the School of Communication and Design unit, providing administrative coordination and support for curriculum and programs, with direct assistance to the students, prospective student families, staff, and faculty. The individual is a primary contact for potential and current students and their families.
Job responsibilities include, but are not limited to:
- Faculty Support - Providing administrative support including faculty paperwork, confidential communications, planning and execution of cyclical and special projects, course evaluation system, development and implementation of course assessment protocols. Contributing to the support of department faculty acting as liaison with the Academic Affairs Office and to communicate and facilitate compliance with university programs and procedures.
- Logistics Management - Providing detailed organization and coordination to all aspects of the numerous events hosted annually by the school, and participates in university-wide events. Participating in building advanced planning calendars for university, coordinating department and school calendars with academic business and university calendars.
- Resource Management - Maintaining school offices and classrooms with supplies and materials providing and facilitating equipment maintenance and replacement.
- Community Care - Creating and providing an environment of care and support for students and faculty, maintaining a high level of confidentiality and integrity.
- Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
- By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
- Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.
- Other duties as assigned.
A day in the life of this position:
The Administrative Assistant will respond to emails and set priorities, offer assistance to faculty and supervisor, and plan for any upcoming events. A day at work might include assisting a faculty member with an expense report or attending to the appearance of office space to ensure it is presentable and welcoming. Other duties could include working on the School's various social media accounts and preparing for a student recruitment event.
We're looking for candidates who have:
- High school diploma with two or more years of college work required
- A minimum of three years of relevant work experience required
- Ability to effectively manage multiple projects and meet deadlines is essential.
- Proficiency in or ability to become proficient in Microsoft Office suite and Google office applications is required.
- The innate ability to work independently and as a team member.
- Strong interpersonal and collaborative skills, along with strong written and oral communication skills.
- A personal commitment to Jesus Christ and express their Christian testimony in a church. In addition, employees agree to live in agreement with the Community Lifestyle Statement and affirm the theological commitments expressed in the Statement of Faith .
Preference will be given to those who have the following attributes:
- A bachelor's degree.
- Experience working in higher education.
- Proficiency with Creative Suite and social media management.
Job information:
- Hours Per Week: 20 hours
- Work Period: August 15th through May 15th (9 months)
- Primary Work Location : Newberg Campus
- Working Conditions : Physical requirements are those of a normal office environment.
