Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at a Local Tractor Shop. The ideal candidate will provide essential administrative support to ensure the smooth and efficient operation of our daily activities. This role involves a combination of clerical tasks, customer interaction, and general office management. Key Responsibilities: Office Management: Greet and assist visitors, ensuring a welcoming and professional environment. Answer and direct phone calls, taking messages or providing information as needed. Maintain organized filing systems for documents, records, and customer information. Customer Interaction: Assist customers with inquiries, orders, and service requests in a friendly and professional manner. Coordinate appointments and communicate with customers regarding service updates or delays. Data Entry and Record Keeping: Enter and update customer information, service records, and inventory data accurately in the system. Compile reports and summaries based on collected data for management review. Support for Sales and Service Teams: Assist the sales team with order processing, documentation, and customer follow-ups. Collaborate with the service department to schedule appointments and track service requests. Communication and Correspondence: Draft and proofread emails, letters, and other correspondence. Coordinate communication between internal teams and external stakeholders. Supply Management: Monitor office supplies and place orders as needed. Maintain an organized inventory of office materials. Event Coordination: Assist in planning and coordinating events, such as product launches or customer appreciation days. Assist with Financial Transactions: Process invoices, track expenses, and assist in basic financial record-keeping. Qualifications: Proven experience as an administrative assistant or in a similar role. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficient in MS Office Suite (Word, Excel, Outlook). Familiarity with basic accounting principles is a plus. Ability to maintain confidentiality and handle sensitive information with discretion. Previous experience in a retail or service environment is advantageous. Education and Experience: High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus. Previous experience in a similar administrative role is preferred.
