Job Description
The Workers' Compensation Claims Assistant reports to the Risk & Safety Manager and is responsible for managing all work-related injury cases and the Return-to-Work program, administering Occupational Leaves and ADA Accommodations, managing and distributing the OSHA 300 logs, and provide administrative and reporting support to the Risk & Safety department.
Minimum Pay Rate (hourly) - $25
Maximum Pay Rate (hourly) - $27.50
DUTIES AND RESPONSIBILITIES
- Manage all work-related injury cases
- Collection of all legally and internally required injury reporting paperwork.
- Initial and ongoing investigation of each reported claim.
- Creation, maintenance, and auditing of claims files.
- Data entry into HR Systems; reporting data to insurance carrier(s).
- Completion of wage statements & job analyses.
- Physician certification, work status, and claim progress tracking and monitoring.
- Issue housing letters and other communications as required.
- Attend claims reviews and required trainings.
- Attend claim depositions.
- Conduct interviews with potential witnesses and claimant.
- Analyze claims for potential safety violations.
- Make disciplinary action recommendations or escalate safety violations to the Risk & Safety Manager.
- Collaborate with Risk & Safety Manager and Safety Specialist regarding program or policy changes.
- Actively monitor legal proceedings and progress for litigated claims.
- Collaborate with and/or escalate S&W & 132a filings to Litigation team.
- Collaborate with and/or escalate allegations of discrimination, harassment, and retaliation to the Risk & Safety Manager and/or Employee Relations Specialist and Litigation team as circumstances dictate.
- Manage Return to Work Program
- Guide employees through the interactive process pertaining to occupational injury accommodations.
- Track temporary and permanent modified duty accommodation documentation.
- Manage the Stay at Work Program for WA injured workers.
- Evaluate and prepare Modified Duty Job offers for permanent and temporary modified duty accommodation(s) related to occupational injuries.
- Occupational Leave Administration and ADA Accommodations
- Manage workers’ compensation leaves & ADA accommodations.
- Attend, actively participate in, and lead ADA good faith interactive meetings for workers’ compensation leave/accommodation employees independently or in collaboration with the Risk & Safety Manager.
- Review/analyze Work Status restrictions for potential accommodations.
- Prepare and process employee separations.
- Perform other duties as assigned.
- Provide Employee Safety & Risk Management Support
- Conduct site safety visits and inspections in collaboration with the Risk & Safety Manager and/or Safety Specialist.
- Track and analyze safety/loss source trends.
- Organize periodic Corporate Safety Lunch catering and coordinate speakers/presentations in collaboration with the HR Assistant – Risk & Safety.
- Manage OSHA 300 Logs & Annual Distribution
- Maintain OSHA 300 Logs for each establishment.
- Maintain case information for each reported injury/illness.
- Oversee maintenance of the spreadsheet with new location/termination of management information (day to day task assigned to the HR Assistant – Risk & Safety) .
- Conduct end-of-year establishment audit for active/inactive work locations.
- Conduct end-of-year case audit.
- Distribute OSHA 300 Logs annually for posting from February 1st – April 30th.
- Reporting
- Prepare and distribute Monthly Claims Summary Reports.
- Prepare and provide other reports as requested by the Risk & Safety Manager, or as required for projects related to FPI’s broker/carrier relationship.
- Maintain proficiency in running reports through ADP Vantage in order to provide specific information to FPI’s workers’ compensation carrier or other agencies as requested (ex: wage statements).
- Clerical Support
- Demonstrate strong verbal and written communication skills for appropriate business communication .
- Respond to workers’ compensation-related Subpoena for Records.
- Mail correspondence by USPS and FedEx for claim processes/leave management as required.
- File claim documents within the digital claim files.
- Management of Certificates of Coverage for WA properties; respond to requests for workers’ compensation insurance certificates from other jurisdictions.
- Maintain document retention file for closed claims.

- Consistently and fairly enforce rules and regulations, FPI Standard Operating Procedures.
- Comply with all Laws and FPI policies and procedures.
- Promote a professional image by adhering to FPI Management's Dress Code Policy.
- Conduct displayed must be of a professional manner when communicating with employees, residents, prospective residents, clients, vendors, and guests while representing FPI Management.
- Responsible for meeting all training requirements for the position (Grace Hill, Safety Meetings, etc.).
Perform any and all functions as directed by the supervisor, including special project assistance.
Qualifications
Minimum Requirements:
- Minimum 2 years' experience in a similar role, preferably within Residential Property Management. Experience with Workers' Comp Claims management from the employer-side, strongly preferred.
- High school diploma or equivalency certificate required. College degree in a relatable field preferred, or an equivalent combination of education and work experience.
- Valid Driver's License, a good driving record, current motor vehicle insurance which meets State requirements, and an operable vehicle that meets FPI's Driving Standards and Personal Vehicle Use policy.
- Must be proficient in speaking, reading, and writing in English.
- Strong computer skills (MS Office, Google Apps, Adobe, email, internet, etc.).
- Position is telecommuting approved. Candidates must have the ability and set-up to work from home, have a dedicated space to efficiently and ergonomically perform job duties, and must be able to abide by FPI's Telecommuting policies.
