Job Description

The successful candidate will work independently to support development, management, and execution of internal meetings and client events from concept to completion. The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing a high level of customer service internally and externally across all functions and business lines. Requirements include:

•Plan and facilitate logistics for all events, including but not limited to venue sourcing, contract negotiations, guest lists, venue preparation, presentation materials, security, catering, décor, entertainment, transportation, audio visual, decor, rooming lists, ground transportation and other marketing materials as needed
•Identify specific client needs to create memorable experiences
•On-site execution and assistance in over-all event development; oversee client experiences from concept through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases
•Coordinate with internal staff, clients, and vendors to establish the requirements for each event
•Serve as a liaison to senior executives and industry leaders throughout the planning process and lead pre-event meetings to help event stakeholders make decisions
•Proactively identify and solve operational challenges
•Comply with legal, insurance, health, and safety regulations at all times
•Maintaining expenses within a specified budget and conduct monthly post event reconciliations
•Manage and nurture relationships with vendors, venues, and other industry contacts
•Manage company owned suite venue calendar
• Other duties as assigned

Basic Job Requirements

• Accredited four (4) year degree or global equivalent in applicable field of study and four (4) years of work-related experience or a combination of education and directly related experience equal to eight (8) years if non-degreed; some locations may have additional or different qualifications in order to comply with local requirements
•Strong organizational skills
•Proficient in computer and software skills to include work processing, e-mail, calendaring, spreadsheet, presentation programs, Outlook and Cvent
•Innovative, team-oriented individual with the ability to work well under pressure, prioritize multiple tasks and projects and consistently meet deadlines
•Ability to communicate effectively with audiences that include but are not limited to management, including C-suite executives, coworkers, clients, vendors, contractors, and visitors
•20 – 30% travel required

Preferred Qualifications

•Bachelor’s degree (or equivalent) in event management or related discipline
•Five (5) plus years of experience in event management industry
•Proficient in Cvent
•CMP Certified
•Flexibility for domestic or international travel, as needed

•Ability to handle pressure and make good decisions quickly
