The Grants Associate is a full-time, non-exempt position that oversees grant platforms, manages data administration, supports grantees, and coordinates grant cycles. Serving as a main point of contact for Grantees and applicants, responsibilities include facilitating platform access, addressing inquiries, and building positive relationships. Collaborating with the Grants Manager, the Associate supports the Grantee Cohort program, outreach activities, and will assist with the transition to a new Grants’ management platform in 2024.
Job Responsibilities:
- Oversee grant application intake, assist applicants and Grantees throughout grant cycles.
- Oversee basic administrative functions in all grant platforms, including user maintenance, licenses, and account access. Update platform templates, generate reports, build and edit grant applications, manage payment and renewal schedules, create review stages, assign reviews, conduct ongoing data entry, and perform other routine tasks.
- Ensure accurate data migration to a new CRM and Grants Management platform (Foundant) in 2024.
- Coordinate grant application cycles, conduct due diligence for outgoing grants, and verify eligibility requirements are met.
- Implement grant cycle timelines, project schedules, and milestones for successful project completion.
- Support development of final report templates in grants’ platform, ensure timely submission of final reports from grantees.
- Act as the primary logistical coordinator and point of contact for grantees, including communication on deadlines, award letters, and budget adjustments.
- Lead regular data audits for compliance and improvement; aggregate data and prepare visualizations for LANLF staff, Board, and stakeholders.
- Work with the Grants Manager to cultivate Grantee Cohort activities and coordinate additional resources for grantees.
- Coordinate grant meetings, plan events and trainings, design flyers and announcements, and maintain grants-related website information.
- Lead projects from conception through delivery, working with external partners, stakeholders, and vendors as required.
- Ensure timely completion of assigned deliverables and support adherence to financial budgets, milestones, and project evaluation.
- Create, update, and maintain organized files and records for all grants.
- Oversee and actively manage the Grants internal and external calendars.
- Collaborate with the Finance and Administration team for due diligence and grant disbursement.
- Perform any other duties as assigned.
Eligibility Requirements:
- Excellent oral and written communication skills, with diplomacy and good judgment.
- Proficient with Microsoft Office 365 & Google Suite.
- Ability to manage multiple projects, set priorities, and meet deadlines in a fast-paced environment.
- Proactive, goal-oriented, and able to work both independently and collaboratively.
- Strong attention to detail, problem-solving skills, and adherence to data governance standards.
- Sense of humor, creativity, kindness, flexibility, and patience; understanding and recognition that this work is centered on building and cultivating relationships.
Desired Skills and Experience:
- BA/BS degree preferred with a minimum of 3 years’ administrative experience in a fast-paced organization; preferred experience in philanthropic or grant-making roles.
- Experience in data engineering and database management.
- Experience in Community Force or Foundant platforms.
- Proficiency in creating data visualizations in various formats.
