Position Summary :

Do you enjoy a fast-paced environment where every day brings something new, exciting and challenging? Then our Executive Assistant position may be right for you. This role works as a team with our Senior Executive Assistant to many needs of the Firm's Managing Partner. This role is perfect for the administrative assistant who is looking for the next step in their career path who has a strong sense of organization, scheduling, time management and accuracy. The Executive Assistant plays a key role in coordinating internal/external gifting on behalf of the Firm and the Managing Partner, facilities client events, coordinating travel, calendaring and other needs in a team effort with the Senior Executive Assistant. The Executive Assistant provides an exceptional level of services to clients, guests and employees of the Firm - all while maintaining a high level of confidentiality.

Essential Functions :

1. Coordination of monthly birthday and anniversary gift ordering and delivery as well as miscellaneous employee and client gift ordering, i.e., congratulatory deal closings, new baby, new home, get well, etc. Hand selects gifts on behalf of the Managing Partner and ensures orders are accurately placed and reach their destination timely.

2. Makes reservations for restaurants, hotels, car services, flights and other miscellaneous arrangements, schedules golf/tee times for clients and small client events, assures credit card authorizations are in place, and communicates details via email and calendar invites.

3. Assists with calendar management ensuring clarity and accuracy of details.

4. Submits client expenses for reimbursement through Chrome River system, as needed.

5. Partners with Senior Executive Assistant in managing the logistics of Firm-hosted events including but not limited to securing venues, contract and budget review, invitations/calendar invites/RSVPs, hotel and restaurant reservations, car service arrangements, processing invoices, and liaising with clients, employees, and suppliers.

6. Quickly adapts to any last-minute changes regarding plans, travel, and events and ensures all involved parties have up-to-date information.

8. Helps coordinate country-wide holiday client and employee gift ordering and delivery.

9. Tracks expenses, receipts, and gifting details to ensure timely reimbursement.

10. Maintains a list of recipients and gift specifics for anything sent on behalf of the Firm from the Managing Partner.

11. Assists, as back-up, with the coordination of the complex and ever-changing schedule of the managing partner which includes but is not limited to, travel, meetings, appointments, and other deliverables optimizing the Managing Partner's ability to bring value to the Firm.

12. Works seamlessly with the Senior Executive Assistant to ensure all the Managing Partner's administrative and high-level needs are met.

13. Always communicates properly and promptly with Benesch personnel as well as external contacts while exhibiting a high level of customer service.

Additional Responsibilities :

1. Serve as a professional liaison between the Managing Partner as well internal and external customers.

2. Provide general support for the Firm's ongoing business development interests.

3. Perform other duties as assigned.

Confidentiality :

The individual in this role is routinely exposed to various documents and information which are of a confidential nature. Such documents and information must be kept confidential at all times.

Qualifications :

The Executive Assistant must have a High School Diploma, an advanced degree is preferred. A minimum of five years' experience as an executive assistant supporting the COO, CEO or President of a professional services organization or Managing Partner of a large law firm is required. Must be highly proficient in MSOffice, Outlook and related software, as well as experienced coordinating complex travel arrangements. Must possess superior project management skills, strong attention to detail, ability to adapt to constantly shifting and changing priorities, as well as professional communication, both written and oral. Excellent customer service attitude and flexibility to extend working hours as needed. Accuracy in all duties is a top priority.
