Procurement Specialist II - Finance

The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute.
The Allen Institute is seeking an exceptional Procurement Specialist II to join our team. The position works with our Procurement Team to support over 800 employees at the Allen Institute. This plays an integral part in supporting the scientists in groundbreaking science.

Essential Functions
- Ensure purchase requisitions are accurately converted to purchase orders, including verification of general business processes
- Monitor all open purchase orders on a weekly basis and update stakeholders on status
- Follow-up with managers and end-users regarding open issues related to their orders
- Provide ad-hoc reporting to departments when needed
- Work with warehouse team to resolve receiving and inventory delivery issues
- Review supplier Terms and Conditions and escalate to legal if needed
- Communicate with suppliers regarding item returns, credit memos, inaccurate sales confirmations, etc.
- Resolve invoice issues in a timely manner by working with Accounts Payable
- Collaborate with stakeholders on vendor selection
- Coordinate vendor meetings and shows by working with facilities
- Regularly seek out greater discounts from suppliers
- Keep purchasing intranet site current with the latest information including training
- Update training and lead monthly trainings on procurement process with end users
- Attend department meetings to understand procurement needs in advance
- Suggest changes or updates to existing workflows to streamline processing for end users
- Work closely when needed with Oracle IT team to test functionality
- Must be inquisitive and collaborative

Required Education and Experience
- Bachelor’s Degree in business, supply chain management or a related field, or equivalent combination of degree and experience
- Minimum 1 year of prior purchasing experience with full cycle purchasing experience (knowledge of requisition to invoice payment process (Procure to Pay))
Preferred Education and Experience
- 4 years of prior purchasing experience with 2+ years of full cycle purchasing experience (knowledge of requisition to invoice payment process (Procure to Pay))
- Knowledge of MS Excel, Word, PowerPoint, and SharePoint
- C.P.M. or C.P.S.M. Certification preferred
- Purchasing lab supplies / equipment experience preferred
- Oracle Fusion or other ERP experience helpful
Physical Demands
- Fine motor movements in fingers/hands to operate computers and other office equipment
Position Type/Expected Hours of Work
- This role is currently able to work in a hybrid work environment. We are a Washington State employer, and any remote work must be performed in Washington State.
Annualized Salary Range
* Final salary depends on the required education for the role, experience, level of skills relevant to the role, and work location, where applicable.
