Job description
Summary of Responsibilities
Responsible for the day-to-day operations of the Business Office, ensuring adequate controls, accuracy, and timeliness in maintaining, reporting and securing financial data.
Reporting Structure
The Controller reports directly to the Chief Financial Officer, while supervising functions in the Finance Office (Accountant/Payroll, Accounts Payable, Accounts Receivable).
Specific Responsibilities
- Responsible for the fiscal controls of the School.
- Manage compliance with the generally accepted accounting principles (GAAP), including adherence to IRS rules and regulations.
- Maintain the School’s general ledger system.
- Responsible for the School’s financial compliance requirements, including the preparation of a 990, 99-T, and RI-990-T forms.
- Acts as the primary liaison with the School’s external auditors and prepares the annual financial statements.
- Prepares monthly financial reports for the Administration.
- Manage Advancement office data, including accurately reflecting endowment accounting, donor restrictions, and unitization of the School’s gross endowment.
- Perform the School’s internal audit function.
- Executes the School’s cash management program.
- Ensure accounts are reconciled in an accurate and timely manner.
- Prepare annual surveys (e.g. DASL, ABOPS).
- Liaison with Admissions regarding the enrollment process.
- Calculate the School’s debt covenants and calculations.
- Participate fully as a member of the Finance Office team with an emphasis on communication and collaboration in support of a culture of accuracy, productivity and customer service.
- Exercise prudent financial judgment and demonstrate a high degree of ethical standards.
- Review all disbursements for accurate account coding, amount, payee, etc.
- Review biweekly payroll processing.
- Review and approve monthly sales tax calculations and remittances to the State of Rhode Island.
- Assist in annual budget preparation.
- Manage all School credit cards.
- Responsible for adherence to Record Retention policy and the management of files and storage.
- Assist with miscellaneous tasks as may be assigned in partnership with the Chief Financial Officer
Skills/Knowledge Required
- Bachelor’s Degree in accounting. CPA preferred.
- Minimum of 5 years of Not-for-Profit accounting experience, including managerial responsibility.
- Ability to exercise independent judgment with attention to detail and accuracy.
- Excellent verbal and written communication and interpersonal skills.
- Interest in professional development, including attendance at regional conferences and meetings.
