Position Summary
At Cloud Rx, as an Optimization Specialist for our non-dispensing pharmacy, you will play a vital role in ensuring the highest level of patient and client service, efficiency and accuracy in our operations. Your responsibilities will include assisting in support with automation (bots), assisting in creation of new services and operational processes. Assisting in client facing processes and demonstrations, enhancing organizational efficiency by improving process, support in documenting and notating projects for upcoming clients, assist in scheduling meetings, documenting workflows, and providing assistance in note-taking during client meetings. The ideal candidate should possess excellent organizational skills, strong communication abilities, and proficiency in managing schedules and documentation.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Analyze current business processes and workflows to identify areas for optimization and efficiency improvement.
- Collaborate with cross-functional teams to gather insights and understand pain points in existing processes.
- Assist in developinging and implementing strategies to streamline processes, reduce waste, and enhance productivity.
- Coordinate and schedule internal and external meetings, including client appointments, team meetings, and conferences.
- Manage multiple calendars efficiently, ensuring optimal use of time and resources.
- Send out meeting invitations, reminders, and follow-up correspondence as necessary.
- Evaluate existing technologies and systems to identify opportunities for automation and integration.
- Work with IT teams to implement new tools and technologies that support business optimization goals.
- Assist in training team members on new tools and processes to ensure successful adoption and implementation.
- Serve as a central point of contact for scheduling-related inquiries and requests.
- Communicate effectively with team members to keep them informed of schedule changes and updates.
- Assist in note-taking during client meetings, capturing key discussion points, action items, and decisions. Recap and review key action items, ensuring that action item owners are held accountable for completion of items.
- Prepare meeting agendas, materials, and presentations as required.
- Distribute meeting minutes and follow-up tasks promptly to all relevant stakeholders.
- Document workflows and processes within the organization, ensuring accuracy and completeness.
- Organize and maintain digital and physical files, ensuring easy accessibility and retrieval of information.
- High school or equivalent (Required)
- Pharmacy Technician Certification (Required)
- PTCB Certification (Required)
- Pharmacy Technician Experience: 1 year (Required)
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Proficiency in scheduling software/tools (e.g., Microsoft Outlook, Google Calendar) and document management systems.
- Strong attention to detail and organizational skills, with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptability and willingness to learn new tools and processes.
