Operations Support Manager

Job description

Operations Support Manager will handle different support initiatives and act as a key business partner to the Company. The support initiatives may come in people management, IT infrastructure assistance, or process improvement, among others. The role requires working collaboratively with Operations to facilitate decision support and business analysis.

Operations Support Manager must have a deep understanding of company operations and the employees' needs. Will manage processes and standards to ensure that company operations are fully supported and will not be disrupted. Will resolve concerns and anticipate problems that may come. Can plan and create safeguards to ensure that such problems will not arise in the future. Will develop complex reports and templates, as well as perform periodic updates, and distribute to management. In addition, will handle a wide range of special projects as they arise.

KEY RESPONSIBILITIES/ACCOUNTABILITIES

• Partners collaboratively with Operations, Sales and Support Areas to facilitate decision support and performance management.
• Collaborate with district Managers to identify cost saving opportunities and lead cost elimination projects.
• Identify opportunities to enhance procedures or best practices to assist in meeting goals, objectives, and providing quality support.
• Assists with developing new and/or updated policies, procedures, and processes. 
• Develop, deploy and maintain relevant KPIs on business performance.
• Own the development and effectiveness of team operating mechanisms including periodic finance reviews, operating review decks, assets and inventory trackers.
• Partner closely with finance to build & own annual budget.
• Work with Operation Managers and Field personnel in the monthly physical inventory reconciliation.
• Ensure inventory and asset policies and processes are implemented and being followed.
• Review Slow Moving Inventory with Operation Managers and involves other functional groups to reduce risk.
• Help identify and update capital planning needs and cost-effective operation.
• Work with Operation Managers to ensure spare parts and asset demands are captured and delivery times are aligned to the business.
• Plan and implement asset life cycle, specifications and preventive maintenance strategy.
• Develop and maintain processes and policies for assets.
• Manage assets after acquisition, assign specifications, track warranties, life cycle and final disposition of assets.
• Analyze data and create reports to monitor Inventory and Assets and identify areas for improvement.
• Process information requests regarding asset status, maintenance records, schedule, etc.
• Collaborates and cooperates with other functional areas.
• Support Operations Manager in Ad hoc analysis and special projects as required.

ESSENTIAL QUALIFICATIONS/REQUIREMENTS

• Knowledge of accounting and financial reporting principles.
• Highly analytical with the ability to turn complex financial data into actionable management information.
• Proactive self-starter able to manage and prioritize multiple deliverables and tight deadlines in a fast paced and dynamic environment.
• Comfortable with ambiguity and able to lead directly and through influence.
• Operational statistical analytical ability using applications such as Excel.
• Successfully leverages collaboration to solve problems.
• Detail oriented and organized – meticulous in identifying and diagnosing problems and careful in drawing right conclusions and solutions.
• Ability to evaluate and analyze data to enable operational decision-making or present clear recommendations to leadership.
• Lateral thinker with exceptional judgment – ability to develop process and drive schedules but also comfortable quickly changing direction when that is the best course of action.
• Demonstrated experience creating and improving processing and delivering results in an unstructured and fast paced environment.
• Passion for technology, especially tools and data that enable efficiency.
• Proactive in resolution of operational issues.
• Excellent communication skills and ability to interact with all levels of management.
• 3+ years of experience in an operations role and 2+ years of finance experience or on a Support team for Operations.


PREFERRED QUALIFICATIONS/REQUIREMENTS

• Inventory and asset management experience preferred.
• PowerBI/Access/Database experience is a plus.
• Bachelor's Degree.
