Responsibilities
- Greet and welcome guests by providing excellent customer service.
- Answer and direct all incoming calls.
- Provide information about the company and services.
- Manage all incoming calls from technicians and field calls and project/job updates.
- Assisting with the schedule when needed - dispatch drivers/crews, vehicles, or equipment to appropriate locations according to predetermined schedules, customer requests, or immediate needs.
- Maintain technician's timecards and correct errors.
- Relay information or other pertinent messages to/from technicians, crews, managers, and inspectors.
- Speak with supervisors or customers to resolve problems, and requests for services and equipment.
- Prepare daily work.
- Prepare/deliver work orders for technicians.
- Communications within all company-assigned territories.
- Keep and organize all requests, charges, expenses, and inventory records.
- Receive and prepare all mail/packages.
- Filter and distribute company emails.
- Prepare inner office communications, memos, and reports.
- Prepare and edit instructional or procedure documents.
- Create and maintain effective and efficient systems and procedures.
- Track, order, and replace office supplies and inventory.
- Support accounts receivables and collection efforts
- Entering vendor bills
- Assist other colleagues when needed.
- Perform other administrative duties as needed.

- At least 3 years of office administrative experience
- Strong Organizational skills

- Ability and willingness to handle regular changes and movement due to business growth
- Ability to handle multiple tasks in a busy environment
- Thorough and efficient knowledge of basic computer skills
- Must be authorized to work in the US.
