Job description
The Registrar manages the school system of record database, providing data input, technical support, and database information to all Mount de Sales Constituencies; faculty, staff, students, parents, and alumnae. This position requires a strong working knowledge of databases, including the ability to integrate various software programs. This is a full-time staff position that reports to the Vice Principal of Academics. Duties and Responsibilities The duties below are typically performed by an employee in this classification. However, an employee may not be assigned all duties or may be assigned other related duties not listed. Database Manager Manages the users and the data of the integrated MDSA Blackbaud platforms, including functions related to Academics, Advancement, Finance, and Admissions. Collaboratively envision the School's long-term database integration and assess the needs and capacity to meet that integration. Regularly contribute to the creation and maintenance of the School's database documentation. Maintain the integrity of the database by completing regular maintenance. Serves on the MDSA Technology Team and attends Technology Team meetings. Executes the necessary procedures to collect accurately, input, verify and share data with all of the Mount de Sales Constituencies: faculty, staff, students, parents, and alumnae. Supports the community with user account creation and access in conjunction with the Business Office and Technology Team. Coordinates updates to constituent data in multiple systems. Maintains relationship with Blackbaud sales and customer service and other database customer service representatives. Serves as a conduit with customer service to troubleshoot constituent needs. Identify database related hardware and software application needs of the school. Supports Technology Team in integration of Blackbaud programs with other digital applications. Facilitate, support, and conduct training and implementation of MDSA Blackbaud Platforms. Organizes processes and procedures for using the Blackbaud database, including forms, reports, lists, imports, exports, and file uploads. Collaboratively envision the School's long-term database integration and assess the needs and capacity to meet that integration. Perform other duties as assigned by the Principal and Vice Principal of Academic Affairs for Registrar duties; performs other duties as assigned by the Business Manager and Director of Advancement for accurate financial processing. Registrar Oversees all aspects of our SIS/LMS, Blackbaud's Educational Management Solutions, including supporting multiple managers within Blackbaud. Assists the Vice Principal of Academics with scheduling by offering technical support to the process, processing schedule change requests, and updating students' schedules by schedule change due dates. Support academic services with annual tasks such as academic year calendar set-up, quarterly and annual updates, scheduling, and the preparation and publishing of report cards and transcripts. Facilitate and monitor entry and maintenance of academic information including courses, activities, groups, reports, forms, grades, etc. Creates academics lists and documents including, but not limited to: honor roll, report cards, academic probation, and transcripts. Manages the data and the process for the enrollment, transfer, and withdrawal process. Manages the interface between MDSA Blackbaud Platforms and all other student related software systems for the school. Maintains the electronic version of the master textbook list and coordinates with Department Chairs on textbook and consumable ordering. Processes student requests such as drivers permit, work permits, etc. Compiles statistical data on registration and enrollment for administrative use. Create queries and lists to be used by employees as needed. Maintain the electronic student records and student hard copy files. Interprets and ensures the registration policies to faculty and students. Directs preparation of student transcripts; prepares commencement list; reviews and updates academic records of students; compiles graduation requirements for publication in school bulletins; in coordination with the Academic Support Staff, maintains lists of students who are on academic probation, require summer school and who are in danger of not meeting their graduation requirements. Registers new students; registers students for the following year; records schedule changes on permanent transcripts; maintains class count lists; withdraws students and forwards records to other schools on request. Adjust student records as needed, including but not limited to adjusting family relationships, updating contact information, editing enrollment years. Maintains data and statistics, provides reports to the Maryland State Department of Education, teachers, staff, students, and parents. Perform other duties as assigned by Principal or Vice Principal of Academic Affairs Skills/Attributes Commitment to the mission and vision of Catholic education in general and Mount de Sales Academy in particular. Working knowledge of MS Office Suite and MDSA Blackbaud Platforms or similar database system, ability to structure and manage databases. Substantial experience with Excel functionality, especially data import/export skills. Ability to learn new software and assess its ability to integrate with current programs and Blackbaud. Interest in creating greater efficiencies in our data systems. Ability to formulate and enforce business practices to create uniformity and consistency of data Quantitative reasoning skills to assess the accuracy of input and output of academic records Excellent organizational skills and ability to coordinate, prioritize, and analyze several ongoing projects simultaneously. Ability to work in a kind, professional, and collegial manner with the faculty and staff, students, and parents maintaining discretion and confidentiality. Proficiency in creating and presenting database training materials for faculty, staff, students, and parents. Strong written and oral communication, attention to detail, problem-solving ability, and organization skills. Punctuality and adherence to schedules.
