Job description
The Administrative Assistant will be responsible for performing administrative activities that support the
Service Center Management and operations teams with the primary focus of ensuring that employee’s
hours are accurate, establishing strong relationships with vendors and suppliers, creating purchase
orders, ensuring vendors are paid on time, submitting DOT regulated driver’s trip records, proper record
retention, confidentiality and all regulatory responsibilities. The position requires the ability to problem
solve with a proactive and positive approach to assisting others while maintaining exceptional
satisfaction of all employees.

● Strong organizational, prioritization skills, and attention to detail
● Strong communication skills; written and verbal.
● Confirm employee’s Kronos timesheets with actual hours worked, adjusting where necessary.
● Creating purchase orders within our ERP system, SAP, ensuring suppliers receive said purchase
orders, are paid in a timely manner and sustaining strong relationships with those suppliers.
● Collecting, reviewing for accuracy, and submitting DOT regulated driver’s trip records to the
Logistics Department and uploading associated work orders into SAP.
● Ensuring driver qualification records are in compliance and submitting updated records to third-
party clearinghouse for review and retention.
● Organizing and scheduling meetings and/or team events.
● Comply with all health and safety practices as it relates to the work, standard operating
procedures and the Occupational Health and Safety Act.
● Other duties as assigned.
Required
● Bachelor’s degree in business administration or similar discipline.
● Minimum 5 years of administrative experience in the engineering, environmental or
transportation/logistics fields.
● Experience with SAP or similar ERP system.
● Experience with Kronos timeclock system.
● Proficient in word processing and spreadsheet data entry.
Preferred:
● MS Office, Google Workspace
● Experience working with JJ Keller for driver qualification.
● Proficient in word processing, spreadsheet and database computer skills
