Job description

THE OPPORTUNITY:

The Executive Assistant will report to the Chief Executive Officer providing support to the CEO, Board of Directors, and Senior Management Team. This position will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to meet deadlines, and handle confidential matters skillfully.

KEY RESPONSIBILITIES

Manage the CEO’s calendar by prioritizing inquiries and requests while troubleshooting conflicts; make judgments and recommendation to ensure smooth day-to-day engagements.

Edit and complete drafts of memos, and preparing communications on the executive's behalf.

Lead in the preparation of presentations and all related materials needed for formal presentations to the Executive Team or company-wide audience.

Research and analyze data to support any projects, events, and initiatives directors are sponsoring.

Filing and retrieving board records, documents, and reports.

Researching data to prepare documents for review and presentation by boards of directors, committees, and executives.

Accurately recording board meetings minutes.

Using various software, including Microsoft office suite, spreadsheets, doodle, video-conferencing platforms. 

Reading and analyzing incoming memos, submissions, and distributing them as needed.

Making business travel arrangements for CEO.

Performing office duties that include ordering supplies.

Opening, sorting and distributing incoming correspondence.

Provide general administrative support and office management support to management team.

Assist in organizing team meetings, event outings such as, organize on day of events, catering execution, table set up configuration, and working with others to execute event.

QUALIFICATIONS & EXPERIENCE:

A Bachelor's degree  is required.

3+ years of professional work experience.

Board of Directors experience a plus.

Proficient with Google and Microsoft office suites.

Knowledge of Doodle polls.

A proven multi-tasker with a high level of organization skills.

Excellent verbal and written communications skills.

Event planning experience necessary.

Decision making and prioritization skills.

Experience with working with many diverse and culturally competent community.
