Job description

The Executive Assistant will play a crucial role in supporting the Founders of Property Leads. The EA role requires strong computer and research skills, flexibility, excellent interpersonal abilities, and project coordination experience.  This role will provide high-level administrative support and have the ability to work well with all levels of internal management and staff, outside clients, and vendors.  Sensitivity to confidential information is also required. Responsibilities: • Maintain Calendar and Scheduling for CEO - Gatekeeper  • Manage Email Inbox for CEO  • Drive process creation for key CEO / EA processes  • Lead Special Projects  • Helping the CEO Prepare for Meetings  • Proactively Evaluate and Manage the needs of the CEO  • Manage Travel that makes it low resistance and lightweight for the CEO  • Mentor and coach EAs around the company for other executives  • Other Duties Lined out as needed by the CEO  • Helping the CEO stay on his important habits and tasks  • Ensuring the CEO is working on the most important priorities at all times w/ a clear schedule to accomplish them.  • Helping the CEO identify opportunities to delegate things to other team members proactively • Accompany CEO on key meetings and occasionally be in place of CEO on meetings • First line of defense between CEO and VA (Virtual Assistant) • Running reports and paying invoices, vendors, affiliates • Following up on unpaid invoices from vendors • Updating web pages on WordPress (such as the Refund Policy or FAQ page) • Submitting support tickets • Add/remove team members from software applications • Other responsibilities as needed Qualifications: • Great at working with a team  • Experience supporting a high-level executive • Possession of exceptional organizational skills and a strong attention to detail • Superior written and verbal communication skills • Able to maintain a high degree of confidentiality in all situations  • Proficient in Apple products, Google, Asana, Slack, Airtable  • Ability to organize a priority-based daily workload  • Able to meet deadlines in a fast-paced, quickly changing environment  • Proactive approach to problem-solving with strong decision-making skills • Excited to face challenges head-on and provide potential solutions • Openly welcomes feedback to learn and grow • Has a high tolerance to stress • Able to consistently maintain a positive, can-do attitude and reflect a professional demeanor • Takes ownership and escalates any mistakes immediately • Willing to be on call on weekends This job description is not all-inclusive and certain activities, duties, or responsibilities may be required of the employee as needed.
