Position Title: Billing Specialist
Job Summary: As an Engineering Billing Specialist, you will play a critical role in ensuring accurate and timely billing processes within the engineering department. Your responsibilities will primarily focus on generating invoices, tracking project costs, reconciling accounts, and communicating with clients regarding billing inquiries. This position requires meticulous attention to detail, strong organizational skills, and a fundamental understanding of engineering project workflows.
Key Responsibilities:
- Invoice Generation: Create and distribute accurate invoices based on project milestones, time spent, and materials used. Ensure adherence to client contracts and billing terms.
- Project Cost Tracking: Collaborate with project managers to track project costs, including labor, materials, and other expenses. Maintain detailed records to facilitate accurate billing.
- Account Reconciliation: Reconcile billing records with project expenses and client payments. Investigate and resolve any discrepancies in a timely manner.
- Client Communication: Act as a primary point of contact for clients regarding billing inquiries, clarifications, and disputes. Provide exceptional customer service to address client concerns and maintain positive relationships.
- Reporting: Prepare regular financial reports detailing billing activities, outstanding balances, and revenue projections. Present findings to management as needed to support decision-making processes.
- Process Improvement: Identify opportunities to streamline billing processes and enhance efficiency. Collaborate with cross-functional teams to implement improvements and best practices.
- Compliance: Ensure compliance with company policies, industry regulations, and accounting standards. Stay updated on changes in billing practices and communicate updates to relevant stakeholders.
Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- 1-3 years of experience in billing, accounting, or financial analysis, preferably in an engineering or construction environment.
- Intermediate experience with Microsoft Excel.
- Strong analytical skills with the ability to interpret financial data and reconcile accounts.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Detail-oriented with a high level of accuracy in data entry and record-keeping.
- Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a fast-paced environment.
