Westrax Machinery is a well-established heavy construction equipment dealership with branch locations in California and Arizona. We provide new and used equipment sales, genuine parts, factory authorized warranty repair and fleet maintenance for Hitachi Wheel Loaders, Kobelco Excavators and Sakai Rollers. Job Summary: The HR and AP Specialist is responsible for managing and executing day-to-day Human Resources and Accounts Payable operations, ensuring the smooth functioning of both departments. This employee will be responsible for a range of administrative and coordination tasks, including record-keeping, data entry, payroll processing, and liaising with employees and vendors.
Key Responsibilities:
- Process employee payroll, including new hires, terminations, and benefits deductions.
- Maintain accurate records and documentation for both HR and AP departments.
- Monitor and maintain employee records, including personnel files, performance evaluations, and other related documents.
- Coordinate and schedule interviews, and onboard new employees.
- Process and verify employee timesheets, ensuring accuracy and compliance with company policies and procedures.
- Respond to employee inquiries and concerns regarding HR and AP matters.
- Process and monitor vendor invoices and payments, ensuring accuracy and timely payment.
- Prepare and process accounts payable vouchers and checks for vendor payments.
- Manage vendor relations, including maintaining accurate records and communicating with vendors as needed.
- Assisting with Audits
- Ensuring compliance with GAAP
- Assist the Controller as needed.
Requirements:
- Bachelor’s degree in accounting or finance, business administration, Human Resources or related field.
- At least 2 years of experience in Human Resources and Accounting
- Working knowledge of GAAP.
- Construction/Heavy Equipment industry experience a plus.
- Strong knowledge of payroll processing, benefits administration, and employment law.
- Excellent communication and interpersonal skills.
- Strong attention to detail and ability to work under pressure.
- Proficient in Microsoft Office, particularly Excel and Outlook.
- Experience working with HR and AP systems and software.
- Ability to prioritize tasks and manage time effectively.
- Strong organizational and problem-solving skills.
Working Conditions: This role is primarily office-based, requiring the incumbent to work on a computer for extended periods of time. The incumbent may be required to work outside of regular office hours as needed to meet deadlines or handle urgent matters.
