This is a hybrid position that requires in-person presence with remote working opportunities.
Purpose & Objectives of the Position:
Coordinate the academic record services for UMD student-athletes. Collaborate with administrative offices, UMD Collegiate Units, Intercollegiate Athletics and the Athletics Compliance Coordinator for effective management of academic records and communications. Work with the Office of the Registrar team to analyze, establish and maintain information systems that support academic records, including transfer and test credits. The Athletic and Academic Records Coordinator will foster strong collaboration across all units within Enrollment Management and contribute to the success of the entire enterprise.
Essential Job Functions, Duties & Responsibilities:
(55%) Intercollegiate Athletics Certification and Compliance - Accurately conduct recurring, independent, academic eligibility reviews and certifications for Intercollegiate Athletics at the University of Minnesota Duluth.
- Review student-athlete academic records; calculate GPA and academic progress credits, determine academic standing and continuing eligibility for all student-athletes in relation to correctly applying the appropriate University, NCAA, and member conference policy in collaboration with the Athletics Compliance Officer; validate regular certification reports prepared for the Registrar and Faculty Academic Representative.
- Monitor full-time enrollment for all student-athletes on an ongoing basis, including additions/changes/withdrawals to course schedule. Coordinate with the Athletic Compliance Officer to ensure that student-athlete academic schedules are maintained in accordance with university, NCAA and member conference regulations.
- Prepare, maintain, and communicate accurate institutional and student-athlete certification records and team rosters.
- Identify and alert the Registrar and the Athletic Compliance Officer of potential student-athlete eligibility issues.
- Investigate and implement best practices that support student-athlete compliance with University policies, NCAA, and member conferences.
- Participate in workshops and trainings that support the understanding of NCAA and member conference athletic eligibility rules and compliance.
(40%) Business & Systems Support
- Program/encode, test, and troubleshoot university curriculum changes and academic decisions into available information systems and student academic records.
- Provide regular maintenance and new developments of the University of Minnesota academic record using student information systems.
- Understand the relationships of student records related systems, including Oracle/Campus Solutions, curricular systems (Coursedog), transfer and degree audit systems (APAS), etc.
- Collaborate to build, maintain, update, and analyze systems and data reporting that contribute to student success, internal and external compliance, effective data analysis, reporting, and decision making related to degree audit, test credit, and transfer credit processes.
- Build, maintain, audit, and query academic records using complex information systems technology in collaboration with academic record experts
- Manage degree audit exception requests and the accuracy of degree audits.
(5%) Perform other duties as assigned
Required
- Bachelorâ™s degree plus at least 4 years of related professional work or a masterâ™s degree plus at least 2 years or related professional work
Preferred
- Demonstrated analytical and problem-solving skills with the ability to apply rules to complex situations.
- Experience with complex information systems and demonstrated ability to use complex technologies for information management and decision making
- Knowledge of and experience with Google Suite educational tools or similar platforms
- Experience with NCAA eligibility rules and athletic compliance
- Demonstrated effectiveness in written communication
- Demonstrated ability to operate with a high level of independence, routinely making critical decisions and exercising sound judgment
- Demonstrated leadership in a setting of required collaboration and teamwork
- Knowledge of academic records, best practices in record management, and degree requirements
- Familiarity with Oracleâ™s Campus Solutions/PeopleSoft student administration, achieve degree audit and transfer credit systems, and other related system integrations are preferred.
