Job description

Provide administrative support to the Department of Development and External Affairs, which encompasses the vice president of the Department, Individual Giving Officer, Volunteer Services Manager, Grants Manager, Director of Communications, Media Arts Specialist, Communications Specialist, and Database Administrator Responsibilities: Serves as receptionist for the Department Screens and directs calls, makes appointments, takes messages or routes calls to appropriate individuals within La Rabida Provides follow up to ensure callers’ needs are met Maintains office files, databases, and coordinates all mass mailings including event collateral materials, as well as maintains departmental budget inforamtion and processes all invoices Prepares a variety of materials, correspondence, reports, graphics, edits, collates, assembles documents, charts, sludes, presentations and makes copies upon request Re-stocks literature and update signage and update signage throughout the hospital, including special guest welcomes Serves as support to Database Administrator and provides back up support in Raisers Edge with batching and acknowledgments during high volume periods and absences Creates a themed monthly bulletin board for new employees and takes photos on an as-needed basis Maintain an information board with timely news articles, pictures, and information of interest Qualifications: Education: High school diploma or G.E.D required Knowledge and experience with Raiser’s Edge or similar donor management software required Minimum three years administrative experience with strong computer skills required Knowledge and Experience with Excel, Power Point, Adobe Acrobat and Word Computer literate – Microsoft Office products, strong organizational and communication skills required Strong communication and interpersonal skills required; high level of diplomacy in customer interactions required; professional telephone skills required Benefits: Competitive Salary Medical, Dental, and Vision Pet Insurance Flexible Spending Account (FSA) Life & Disability Insurance Retirement Savings Plans & Matching Tuition Reimbursement Employee Assistance Program (EAP) Generous Paid Time Off & Holidays Free Parking Free breakfast and lunch on the last Friday of every month
