JOB DESCRIPTION AND POSITION REQUIREMENTS: The Penn State College of Medicine, Office of Medical Education in Hershey, PA, is seeking a Student Services Assistant. The Student Services Assistant - provides support to the student affairs and the evaluation and assessment units and administrative support to the Associate Dean of Evaluation and Assessment within Undergraduate Medical Education (UME) at the College of Medicine. Duties:
The position will interface with employees, students, and faculty throughout UME, including interaction with staff, students, and other senior leaders
Requires strong communication skills, flexibility, and ability to prioritize and juggle competing demands and to schedule ad hoc meetings with internal and external participants as requested
Provide administrative support to the Associate Dean of Evaluation and Assessment, including meeting scheduling and related calendar preparation, preparing reports, and contributing to projects
Serve as liaison and administrative support to the MD and Physician Assistant (PA) Academic Progress Committees (APC) including working with stakeholders to identify needs and prepare agendas; collect, prepare, and distribute meeting materials and record decisions, take minutes, prepare letters, maintain files. Schedule and set up meeting space/video conferencing, including related pre- and post-APC meetings, sub-committee meetings, and other meetings as requested
Coordinate Competency Progress Committee tracking of student progress CPC follow-through. Serve as liaison to MD advisors, providing student information from CPC to them as they help student success.
Coordinate and track leave of absence approvals, return from leaves and individualized student tracks, USMLE Step 1 and 2 completion and delays as they relate to LOAs.
Coordinate and track student completion of essential standards for years 2, 3, and 4; matriculating student honor code signatures.
With Educational Affairs colleagues, provide backup as needed for major event staffing (examples: graduation, white coat, orientation), and project implementation.
Normal work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. with flexibility, with occasional extended hours to accommodate for standing meetings. This role is primarily remote. This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
