About Quinsigamond Community College: Quinsigamond Community College (QCC), the largest community college in Central Massachusetts serving over 13,000 students in degree and certificate programs, adult education and workforce development. Job Description: General Statement Provides flexible responsive and high-quality customer services to the entire college community. Delivers administrative support by compiling data, maintaining records and databases, preparing reports and documents, and distributing information through the use of a personal computer and other office equipment. Assists in the operation of all Auxiliary Services' Departments including but not limited to Events & Inventory.
Supervision Received Reports directly to Executive Director of Engineering, Energy, Environment, & Extension Campus Facilities

Duties and Responsibilities - Assists in the operation of all Auxiliary Services' Departments which include the Print Shop, Mailroom, Shipping/Receiving, Inventory Control and Events to ensure effective operations in compliance with established standards.
- Greets and directs visitors, staff members, and vendors and provides information pertaining to campus operations.
- Assists with program sponsors to discuss internal and external events and assists in the development of appropriate plans for the program implementation and evaluation based upon the stated goals including assisting program sponsors in selecting the most appropriate date(s) and location(s) for programs based upon the campus calendar and requirements of the program.
- Collaborates with campus service providers for necessary program support services,
- including facilities arrangements, parking, A/V technology, catering, maintenance, and other
- related needs.
- Maintains accurate and complete record of all services, counts, and expenses associated
- with conferences and events to ensure accurate information for billing purposes.
- Prepares and compiles data for reports, correspondence, and other communications.
- Accurately maintains records and databases.
- Ensures that all Non-GAAP Fixed Asset procedures and records are maintained in
- accordance with state procedures for inventory control and surplus property.
- Delivers information to the entire campus community through oral and written communications.
- Provides administrative support for Executive Director or Engineering, Energy, Environment, & Extension Campus Facilities.
- Receives, screens, provides information, distributes or refers incoming calls, mail/email, memoranda, packages to the appropriate individual regarding the operation of Auxiliary Services.
- Actively supports the teaching and learning process; works to create and support a student-centered environment.
- Works actively with other areas of the college to ensure a spirit of college-wide collaboration, collegiality, civility and teamwork.

Requirements: Minimum Qualifications Applicants must have at least (A) three years of full-time, equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
- A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.
- A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
- A diploma for completion of a one-year, or equivalent part-time program, in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience*.
- A diploma for completion of a two-year, full-time, or equivalent part-time program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.*
*Education substitutions will be only permitted for a maximum of two years of
the required experience.
- Two years of experience in an administrative position.
- Experience in Event Management.
- Ability to learn and use a variety of computer applications, including Microsoft Word, Excel, Power Point, Outlook, and SharePoint
- Ability to work well in a team environment
- Excellent interpersonal, oral, and written communication skills; Demonstrated ability to communicate effectively and to work with a wide range of constituencies in a diverse community
- Excellent in-person and phone customer service skills
- Excellent time management skills and ability to juggle multiple tasks
Preferred Qualification - Associates Degree in Business Administration, Office Management, or a related field.

Application Instructions: Bi-weekly salary $1,803.41 ($46,888.66 annually) Pay grade 13; An appointment from outside the bargaining unit (AFSCME) must start at Step I of the range.
