Executive Assistant to VP Unscripted Content & Documentaries

Job description
Our client, a well-known entertainment company, is looking for an Executive Assistant to support the VP of Unscripted Content & VP of Documentaries to join their team for a 4 month contract. This position will be hybrid and based out of the
Responsibilities:- Managing both VPs’ high-volume calendars, scheduling meetings, screening and prioritizing calls, tracking and submitting expense reports, coordinating travel, as well as general I.T. needs
- Preparing decks for internal and external creative presentations, including editing clips and mocking up creative materials
- Prepare general grids in Excel for reporting
- Organize contact lists of writers, producers, directors, and creative executives
- Compose correspondence as needed; write synopsis for weekly, widely distributed report
- Read and watch material and provide feedback as necessary; screening festival films (features and shorts) and series tracking upcoming talent across directing and editing
- Provide additional support to other executives and department as needed
- Assist with special projects as needed
- Point-of-contact for internal and external requests for the Executive’s slate of projects in all stages of Development, Production, Post-Production and distribution
- Liaise with high-profile offices externally (production partners) and build relationships with their offices to support communication
Required Qualifications:- 2 years of previous administrative assistant experience in a high-volume entertainment desk at a studio, network, production company or talent agency
- Must be passionate about a career in TV and Film, specifically in unscripted and documentaries
- Ability to successfully coordinate multiple projects simultaneously and comfortably liaise with talent
- Manage smooth operations of the executive’s calendar and office, being mindful of deadlines and priorities
- General understanding of the television and film development process and cycles
- Knowledge of agencies, networks, talent, and production companies
- Must be able to work with minimal supervision
- Excellent communication skills, both written and verbal
- Proficient knowledge of Outlook, Word and Excel
- Experience in PowerPoint and Key Note a plus
