Office Manger/Executive Position Summary: Responsible for managing internal family management office operations as well as other various roles of independent business office functions. Will also be providing high-level support to ownership. You will oversee various administrative and clerical tasks, such as preparing and editing documents, scheduling and confirming appointments, conducting research and analysis, and handling confidential information.We are looking for an office manager to join our team and help us with organizing and coordinating our office operations and procedures. As an office manager, you will be responsible for:
- Performing various administrative and clerical tasks, such as data entry, filing, and scanning.
- Preparing and editing various documents, such as reports, presentations, memos, and letters and ensuring their accuracy and quality.
- Handling mail, courier, and other deliveries and distributing them accordingly.
- Greeting and directing customers, answering and transferring phone calls, and taking and delivering messages.
- Scheduling and confirming appointments, meetings, and events and providing logistical support.
- Managing the front desk area, ensuring its cleanliness and organization, and maintaining office supplies and equipment.
- Maintaining and updating office policies, procedures, and records and ensuring compliance with legal and company standards.
- Communicating and coordinating on behalf of the executives and maintaining positive and professional relationships.
- Handling confidential and sensitive information and matters with discretion and integrity.
- Conducting research and analysis on various topics and projects and providing relevant information and recommendations.
To be successful in this role, you should have:
- A bachelor’s degree in business administration, management, or related field preferred but not required.
- Knowledge of office administration principles and practices, such as time management, project management, communication, and etiquette.
- At least three years of relevant work experience in executive assistance or administration, preferably in a corporate or professional setting.
- Proficiency in Microsoft Office and office management software, such as Google Workspace.
- Excellent interpersonal, organizational, problem-solving, and communication skills.
- Ability to work independently and collaboratively and handle multiple tasks and deadlines.
