The Opportunity:
- As a member of the plant leadership team, the Office Manager works directly for the General Manager, with a functional relationship with the Area Controller.
- Acts independently and executes independent judgement to provide the right outcome for the facility.
- The primary focus of the role is to provide accounting, office, and workforce planning support for a recycling plant.
- May supervise a staff of clerical or administrative support employees who perform a variety of related functions.
- Through a combination of accounting, clerical and people skills, ensures the office is well maintained and employees at all levels of the organization are informed and supported.
Essential Duties/Responsibilities/Function:
Safety:
- As a member of the Plant leadership team, works to ensure a culture of safety and respect.
- Engages cross-functionally to ensure compliance. May be part of training, record-keeping, audits, communications of safety.
Accounting & Record Keeping:
- Works closely with Area Controller to ensure financial data is accurate and timely: includes activities such as journal entries, budget preparation, financial reporting.
- Maintains all employee and financial files, in accordance with regulations. Maintains standards of documentation, record-keeping, and reporting as prescribed by corporate and division policies.
- Coordinates, and performs business support such as processing and monitoring of accounts payable and receivable, shipping and receiving, order receipt and entry.
- Responsible for preparation and distribution of routine and standardized reports and correspondence.
- Performs or assists in month-end closing.
- Ensures appropriate sign-off and review procedures to be SOX compliant.
Administrative Leadership & Support:
- Ensures the smooth flow of the office, including tasks alignment, coverage, cross-training, and other.
- May supervise dispatch, administrative, weighmaster and/or accounting clerical support.
- Assists with customer service, mail processing and distribution, payroll data entry, filing and record-keeping.
- Responsible for preparation and distribution of routine and standardized reports and correspondence.
- Workforce planning & support
- Work closely with Operations Manager or General Manager on staffing planning, vacation, absenteeism, leaves.
- Answer/escalate pay, time off, benefits issues, other employee relations concerns. Ensures all new hires receive and understand benefit timelines and processes.
- Workers Compensation claim processing with benefits dept.
- Supports hourly recordkeeping systems such as PeopleSoft and Kronos.
- Supports Corporate initiatives and the GM to ensure effective communication and site involvement. Includes such things as employee survey, recognition activities, open enrollment presentations, safety training, event planning. Maintains communication tools (bulletin boards, Marlin, other).
- Work closely with corporate or local vendors for placement plant hourly employees or contingent workforce needs.
- Prepare and issue offer letters, background checks, physicals, enters I-9 documentation into E-Verify system for hourly hires.

- Ability to coordinate, oversee and monitor the work of clerical and administrative employees; good verbal communication and customer service skills; ability to communicate effectively and demonstrate courtesy and tact when interacting with other employees and customers; good organization skills; attention to detail and accuracy; ability to work on multiple administrative tasks; ability to effectively communicate department policies and procedures.
Education and/or Experience:
- High school graduation or equivalent with a minimum of 5 years prior office and accounting/booking experience. AA or BS in business administration, finance or accounting preferred.
- High school diploma or equivalent with a minimum of 5 years prior office management experience or AS in business administration or accounting.
