About the Position :

The Accounting Associate works closely with the Director of Finance and Administration performing general accounting processes and related administrative tasks. Tasks are performed in a timely manner in compliance with standard accounting principles and requirements. The Accounting Associate performs these responsibilities in compliance with the organization’s mission, goals, and policies.

Position Responsibilities :

Accounts Payable:

· Prepare incoming invoices with appropriate general ledger expense account(s)

· Request and receive approval for payment from appropriate department head.

· Communicate with vendor if there are discrepancies with invoice.

· Input invoices into IMA accounting system.

· Print checks and match with invoices for distribution.

· Maintain vendors for all companies including pertinent 1099 information

Receipts:

· Monitor bank accounts for IMA and affiliates for incoming ACH and wire transfer and report to appropriate team member.

· Deposit incoming checks through Remote Deposit Capture (RDC) and circulate report of receipts.

· Daily create entries for the IMA Accounting system for receipts of checks, credit cards, and Paypal.

Employee Expenses:

· Request and receive monthly employee expense reimbursement reports and review for completeness and correctness.

· Assist employees if necessary and secure all necessary signatures.

· Create expense entries for the IMA Accounting system and secure approval of the entries.

· Build ACH files via online banking system for staff reimbursement.

Other Duties:

· Maintain various daily and monthly Excel spreadsheets concerning membership, conferences, and accruals per the instructions of the Director of Finance and Chief Financial Officer.

· Complete monthly bank reconciliations for all IMA and affiliate bank accounts

· Support company large events with setup, guest registration, and event tear down per instructions.

· Complete all necessary daily and weekly filing.

· Frequently scan accounting documents into Dropbox.

· Crosstrain to be backup for all accounting and administrative duties.

· Participate in company events

· All other duties assigned by Director of Finance and Administration.

Qualifications :

· Relevant undergraduate degree preferred, but will accept equivalent work experience.

· 2 years of direct bookkeeping or accounting experience required.

· Experience with online banking, RDC, and Positive Pay preferred.

· Intermediate to advanced skills with Excel, Word, and PowerPoint.

· Experience or general knowledge of Accounting and CRM software, Dropbox, DocuSign, Zoom, and Teams.

· Must be highly organized, able to meet deadlines and respond to changing priorities.

· Excellent customer service and communication skills – both written and verbal.

· Team player than can uphold and exhibit IMA values and mission in group and solo tasks.

Pay: $50,000.00 - $60,000.00 per year
