Organization: Prevail, Inc. Position: Operations Assistant
Location: Noblesville, IN Type: Full Time
Prevail is seeking to fill our Operations Assistant position who will be responsible for providing operational support to include human resources duties, overseeing the volunteer program, facility management, and financial management.
Key Areas of Responsibility:
Human Resources
Coordinate and document the hiring process to meet compliance guidelines. Conduct new employee agency orientation and offboarding process. Conduct benefit open enrollments and administration of all employee benefits. Assist with staff development day activities.
Volunteer Program
Coordinate the volunteer program to include actively recruiting volunteers via social media and fundraising events. Conduct initial volunteer interviews to provide an overview of agency and discuss volunteer opportunities. Schedule follow up interview with supervisor for potential placement. Coordinate volunteer orientation to complete required paperwork and receive an overview of the agency’s programs and services to meet compliance guidelines. Responsible for maintaining confidential volunteer files and accurate recordkeeping of volunteer hours.
Facility Management
Oversee the facility to include maintenance requests, telephone system, cell phones, ADT security system, panic buttons, Ai Phones, and cameras. Maintain, update, and train on the VOIP telephone system including the ZAC application. Coordinate community projects related to the facility.
Financial Management
Reconcile credit card statement on a monthly basis. Data entry into QuickBooks. Assisting with month-end close out. Reconciling financial assistance documentation for clients.
Qualifications and Work Experience: High School Diploma, 3years of experience in an administrative assistant role. Must have proficient computer experience including Outlook, Word, and Excel .
