Summary
This position provides administrative support to the Resource Development department in coordinating the internal operations to enhance the overall effectiveness of the department in reaching their annual fundraising goals. The position is primarily an inward-facing coordinator, positioned to support administrative duties for all campaign and RD functions and enhance the effectiveness of the other positions in the department. This position is critical in ensuring our donors have an outstanding United Way experience. Expertise with internal systems such as CRMs, electronic giving platforms, Microsoft Office applications combined with community, donor, and industry information equips the RD staff to effectively build relationships and fundraise across the organization. Full ownership of daily office activities and initiative in completing necessary tasks is critical to the position. Responsible for managing matters of significance and demonstrating sound business judgment in coordinating the department.

Position Requirements & Qualifications
- Three (3) years of experience in human services or related field
- Bachelor’s degree preferred; other experience may be taken into consideration
- Database administration experience preferred
- Proficient with technology tools to include CRM systems (Salesforce preferred) and Microsoft Office suite required (Microsoft 365 & SharePoint, preferred)
- Strong project management skills– Ability to manage detailed and diverse work on a schedule, as well as to respond to unscheduled needs in a fast-paced environment, holding self and others accountable
- Experience working with and supporting volunteers, community collaborations, and partnerships
- Ability to effectively communicate (oral and written) across diverse audiences.
- Possess a valid driver’s license and have use of insured motor vehicle
- Available to work a schedule that may extend over 40 hours per week and sometimes includes early morning and evening activities
Essential Job Responsibilities
Solicitation & Recognition
- Plan and execute direct mail solicitation projects in collaboration with VP of RD & the relationship managers including but not limited to securing adequate supplies; developing, documenting, and streamlining processes; and managing volunteers utilized in project.
- Plan and execute donor acknowledgment activities including direct mail recognition letters/emails in collaboration with VP of RD & the relationship managers including but not limited to securing adequate supplies; developing, documenting, and streamlining processes; and ensuring accuracy in records before execution of communications.
- Collaborate with VP of RD to create a mail plan and effectiveness tracking process and oversee the management of this process.
- Serve as first-line during any proofing related to donor communications.
- Utilize reports and data to inform decisions and strategy related to communications.
CRM Record Keeping & Data Quality
- Support the database manager in ensuring the standards of data integrity for Resource Development team with a focus on accountability; coordinate and complete updates resulting from discovery and investigation.
- Maintain accurate record keeping and account data management for areas of responsibility; utilize available data to drive decisions and evaluate success.
- Generate and prepare reports from CRM for various purposes as needed.
- Support the database manager with pledge entry, generating invoices, and other CRM duties (CRM back-up) as needed.
- Oversee the grant function in the CRM and support the VP of RD in record keeping and tracking of all UWCE grants.
- Manage RD volunteer tracking and internal reporting.
Office Management & Overall RD Responsibilities
- Provide administrative support for the Vice-President of Resource Development
- Oversee preparation, logistics, and record keeping (including but not limited to invites, agendas, and minutes) for RD staff meetings, Cabinet meetings, and other tours and trainings as they are scheduled.
- Provide campaign cabinet support (including but not limited to maintaining rosters, CEO call tracking, and CRM data entry) and serve as liaison between cabinet, RD, and business leaders in setting up meetings.
- Support the relationship managers in contributing to the training and coordination of Cabinet, Ambassadors, and Business Champions.
- Oversee the RD campaign email and respond to and/or delegate emails to RD staff as needed.
- Serve as lead in managing inventory of all RD campaign materials and proactively ensure materials are prepared and on hand in advance of need.
- Work with RD staff to establish an RD communications & events timeline.
- Oversee and maintain the RD communications & events timeline and tracking.
- In collaboration with the VP of RD and database manager, maintain accurate donor records for all major gifts (Tocqueville Society) donors and prospects.
- Ensure solicitation, gift documentation, designation payout (if applicable) and acknowledgment are accurate and timely.
- Assist with RD budget tracking and processing of invoices.
- Assist with program support as needed for engagement programs and/or affinity groups: Caring Club, Young Leaders, Women United, Loyal Contributors, Tocqueville etc.
- Update and maintain process documentation for Resource Development department.
- Collaborates with RD staff and Marketing to ensure the RD web pages on UWCE’s website are up to date with campaign volunteers, materials, etc.
- Contribute to departmental planning and executing of fundraising strategies for broadening donor base and increasing giving among current donors.
- Provide staff support where needed, leadership to assigned volunteers and committees, and assist with special functions as necessary throughout the year.
- Volunteer and actively participate in United Way projects, special events, and cross-functional teams or workgroups that support the entire organization.
Other duties as assigned to advance the goals of Resource Development department and the mission of United Way of the Coastal Empire.

- Occasionally must travel to special events and meetings, often transporting supplies and materials in personal vehicle requiring bending, lifting and carrying 25 pounds.
- Must be able to travel to pick up or deliver supplies or pick up food for meetings.
- Occasionally includes reaching above shoulder heights, below the waist or lifting up to 25 pounds for office equipment, supplies and materials.
