The Bibliographic Services Supervisor position plans, organizes, and directs the cataloging and processing of library materials for Douglas County Libraries (DCL). This role involves managing vendor relationships, services, and outsourcing arrangements within the department. This position is responsible for supervising the Bibliographic Services teams within Collection Services: Cataloging, Lending Services and Collection Services Technician staff. This role works as an effective member of the Infrastructure Services team, and on cross-departmental teams in cooperation with other professional staff. The role requires considerable systems thinking, excellent attention to detail, and a talent with working with people and building effective teams. The role assists the department manager with creating and executing strategic work plans based on overall library district strategy.
Essential Duties and Responsibilities:
50% Supervision and Leadership:
- Recruits, interviews, hires and trains new department staff.?
- Recommends salary increases, promotions, transfers, or terminations.?
- Handles discipline and terminations in accordance with organizational human resources practices.?
- On call in crisis situations.
- Ensures that team?consumes, understands, and effectively utilizes?organizational communication.?
- Provides direction, support, feedback, and leadership to direct reports.
- Ensures team brand compliance and excellent internal and external customer service in interactions with customers and staff.?
- Ensures that team aligns with organizational goals and values.
- Engages in the DCL performance feedback system, provides frequent feedback and support to individual team members to align work and behaviors with DCL brand, values and priorities, maintains documentation in Paylocity, develops and retains high quality employees.
- Promptly approves timecards and time off requests.
- Performs the role and responsibilities of the manager in a backup or supportive role as needed.
- Works cooperatively with the Collection Services supervisory team to communicate and implement District strategies and goals. Participates in library-wide planning and decision making as a member of the library management team to improve the quality of library services.
- Proactively handles change management initiatives and works collaboratively within the department and with all DCL staff.
- Demonstrates strong communication, organizational, time management and strategic thinking skills. Maintains a positive growth mind-set.
- Understands the annual budget priorities and makes efficient use of resources.
- Implements departmental procedures and services to support DCL policies, identified risk mitigation, and DCL brand, values, and priorities.
- Represents DCL externally as job requires.
- Promotes positive and productive workplace cultures. Maintains effective working relationships with DCL staff.
30% Bibliographic Services:
- Responsible for all cataloging and database/metadata management decisions including: formats, authority file control, subject creation, descriptive cataloging, and computer display.
- Responsible for all Cataloging, Lending Services, and processing/receiving management decisions including: staffing levels, efficiencies, and best practices.
- Manages vendor relations as they relate to cataloging, Prospector, and processing of materials.
- Sets guidelines concerning materials processing, including quality standards and procedures.
- Utilizes user data and workflow evaluations to judiciously make changes to team processes, priorities, and staffing.
- Stays abreast of new approaches, technology, and standards in the cataloging and processing of library materials.
- Maintains expert knowledge and use of computers, Microsoft Office Suite, Horizon, and other industry-related software.
- Learns new technology that is introduced in the industry and the organization, as needed.
10% Team Operations:
- Recommends yearly budget for Cataloging, Collection Services Technician, and Lending Services functions to Collection Services Manager and manages related vendor relationships.
- Develops, implements and evaluates procedures for bibliographic services.
- Performs duties and responsibilities of the Cataloging, Collection Services Technician, and Lending Services staff as needed.
10% Administrative Responsibilities:
- Generates function-specific stats as requested.
- Plans and facilitate regular staff meetings presenting team updates, new processes, items, and services.
- Stimulates collaborative, seamless relationships with co-workers and branch staff, thereby contributing to acohesive organization that supports a positive culture and achieves strategic plan.
- Maintains expert knowledge and use of computers, Microsoft Office Suite, Horizon, and other industry-related software. Learns new technology that is introduced in the industry and the organization, as needed.
Performs other duties as assigned.

Requirements
Required
- Bachelor’s degree
- Three years of public library experience
- One year of supervisory experience
- Fluency in MS Office, and other industry related software.
Preferred
- Two years of bibliographic services experience in a library setting
- Two years of cataloging experience
- Master’s degree in Library/Information Science
A combination of experience and education will be considered.
Physical Requirements: Must have a reliable method of transportation between all DCL locations . Must have the physical ability, stamina, mobility and manual dexterity to support a 7-day a week operation. Work at computer work-stations repetitively and for extended periods. Participate in meetings and events at various locations and at varied times throughout the day. Ability to read as small as 8pt font.
