The Office Assistant provides coverage of all aspects of the reception area and is responsible for the clerical functions of the general office. The Office Assistant assists with all aspects of the Volunteer Department in-order to provide support to our patients, families, and our Navian Hawaii (NH) team. This role demonstrates commitment to the philosophy, goals, and objectives of hospice care and works in coordination with other members of Navian Hawaii's Interdisciplinary Team, providing communication between volunteers, staff and community professionals.
Primary Responsibilities:
- Responsible for all aspects of the reception area.
- Assists and supports the Volunteer Department and other departments as needed.
Receptionist Area:
- Responsible for all aspects of the reception area. Duties include, but are not limited to, answering phone calls, taking messages, greeting visitors and staff, prepping work area including boardroom and conference room.
Volunteer Department:
- Assist VC with data collection, inputting, and record keeping of pertinent volunteer department information. Includes all direct and non-direct patient care hours and volunteer notes.
- Assist VC with all aspects of the volunteer request and assignment process.
- Able to provide complete coverage of the Volunteer Department when VC is absent (PTO, sick leave, etc.)
Miscellaneous Duties:
- Collect and coordinate office lunch orders
- Perform other duties as assigned.
Knowledge and Skills Requirements:
- Ability to communicate with, establish and maintain effective and professional working relationships with Navian Hawaii staff, clients, family members, the public, and representatives of other agencies and organizations.
- Ability to maintain clinical records and prepare related reports.
- Ability to keep HIPAA information and business information confidential
Equipment Used:
- Operates phone system, computer (MS programs such as, Word, Excel, Microsoft Outlook), calculator, copier, facsimile, and postage machines.
- Frequent use of own personal motor vehicle which meets valid registration and insurance requirements. Vehicle must be in good operational condition with ability to travel long distances.
Hours:
- Generally, Mondays through Fridays, 8:00 am through 4:30 pm.
Physical, Mental and Communication Demands:
- Requires long periods of sitting. Requires use of hands and must be able to speak, read and write English. Vision abilities include close vision, depth perception, and ability to focus. Must be able to lift and move up to 25 lbs. unassisted.
- Must be able to work on multiple tasks simultaneously and meet multiple deadlines.
- Able to analyze problems and adopt an effective course of action. Requires learning policies and procedures, writing, arithmetic and problem-solving skills.
- In addition to being able to fulfill the physical, mental, and communication demands listed above, must be able to follow safety instructions and demonstrate critical thinking.
