Job description
Our client is looking for a full-time Administrative Coordinator to provide administrative support to the company and its leaders as well as serve as the initial point of contact to provide friendly, timely, and accurate customer service. This position will be focused on assisting the Chief Operating Officer with administrative and operational tasks. They will also act as the primary administrator and operator for their phone system and appropriately route calls and emails.
This position will be an employee of our client and it is intended to be remote, but for the first 6-12 months it will be hybrid (KOP), to better understand the operation and get to know the people they will be supporting. The schedule for the position will be 8:30 am to 4:30 pm ET.
Responsibilities : - Manage incoming mail; arrange logistics for outgoing mailings.
- Provide logistical/materials support for meetings.
- Develop and maintain a virtual filing system.
- Maintain calendar invitations and track meeting participation.
- Review, process, and track orders, verification requests, and complete proof requests.
- Track weekly certificate orders to monitor turnaround time for accurate communication.
- Provide support in planning organization staff activities.
- Provide administrative support for an examination team.
- Collect and document travel and expense reimbursement receipts.
- Serve as the account administrator for supply orders.
- Manage corporate credit card tracking.
- Assist with managing vendor relationships.
Requirements:
- High School diploma, or equivalent, required.
- Proficient in Microsoft Office Suite, Excel, Word, PowerPoint, and Outlook.
- 3+ years of experience in an administrative capacity.
- Excellent written and verbal communication skills.
- Ability to communicate in multiple mediums with all levels.
- Dependable, ability to be effective with minimal supervision.
- Excellent analytical skills and the ability to provide solutions to complex problems.
- Attention to detail, and the ability to be a creative self-starter and team player.
