About the Role:
As an Executive Assistant with us, you'll be the right-hand person to our President & CEO, supporting them in various administrative tasks. If you thrive in a fast-paced environment and enjoy being at the heart of the action, this role is perfect for you!
Key Responsibilities:
Become a trusted partner to the President & CEO and other senior executives, providing invaluable support in their day-to-day operations.
Handle sensitive matters with the utmost confidentiality and discretion.
Take charge of executive scheduling and planning, ensuring smooth coordination of meetings, conference calls, and board meetings.
Craft engaging correspondence for internal announcements, board meetings, and other communications.
Coordinate the execution of agreements and maintain accurate documentation.
Attend meetings, prepare agendas, and maintain detailed meeting notes.
Assist in the preparation of impactful presentations for various occasions, including board meetings.
Plan and organize logistics for company events and board meetings.
Contribute to the preparation of annual budgets.
Manage travel arrangements, including flights, accommodations, and ground transportation.
Handle expense management, ensuring accurate tracking and reimbursement.
Provide assistance with technology-related queries or issues.
Manage office tasks such as sorting mail, procuring supplies, and supporting kitchen duties.
Welcome visitors and accept deliveries with a warm and friendly demeanor.
Minimum Requirements:
Previous experience supporting senior executives in a professional environment.
College degree preferred but not required.
Demonstrated trustworthiness and discretion when handling confidential information.
Excellent communication and time management skills.
Ability to thrive in a fast-paced environment.
Strong interpersonal skills and emotional intelligence.
Exceptional organizational skills, especially in managing schedules across multiple time zones.
Proficiency in Microsoft Word, PowerPoint, and Excel.
