OFFICE ADMINISTRATOR: The Office Administrator will ensure the smooth running of the Jewish Federation of Greater Kansas City suite, significantly contribute to organizational culture, and provide key administrative support throughout the organization. This is a vital position in the Jewish Federation’s effort to sustain and enhance Jewish life at home and around the world by fostering Jewish engagement, community connections, generosity, and leadership. To be successful, the Office Administrator will have outstanding organizational and communication skills. They will be committed to excellence in the quality and quantity of materials produced, be able to set goals and determine priorities, manage time effectively, and use appropriate lines of authority to address issues and concerns. The Office Administrator will be consistent, conscientious and reliable, will exercise good judgment and discretion in decision making, instill trust, and inspire confidence. Most important, they will be discreet and maintain confidentiality of all information.Specifically, the Office Administrator’s role will be in these areas:
Job Responsibilities
Oversee day-to-day operations of the Jewish Federation suite
Coordinate office activities and operations to secure efficiency and compliance to company policies
Maintain the organization and cleanliness of all aspects of the Jewish Federation suite, including the break room and work room
Complete office opening and end of day duties
Provide key oversight on the Federation storage and function of the office including the offsite storage and kitchen
Serve as primary liaison to:
Jewish Community Campus
Galis IT services
Keep stock of and place orders when necessary for:
Collateral and marketing materials (i.e. letterhead, envelopes, business cards, etc.)
Office Supplies and Break Room snacks
Assist the Finance Team as needed with deposit processing, mailings and year end statements.
Coordinate with the Chief of Staff on the development and management of onboarding staff while assisting in training lower-level assistants and clerical staff.
Contribute to creating a warm, welcoming environment in the Jewish Federation suite
Provide a friendly and warm presence at the front desk
Greet and assist guests who visit the Jewish Federation suite
Provide a warm greeting and assisting callers to the Jewish Federation
Answer email (via webmaster) inquiries
Coordinate all Jewish Federation meetings held at the Jewish Community Campus
Coordinate the logistics for any event hosted by Federation on the Campus
Maintain an event and staff calendar in collaboration with the event staff
Collaborate with and serve as the Federation liaison to Campus building facility staff
Provide administrative support for the President and CEO, Chief of Staff, and the Board of Directors
Perform basic administrative support including managing calendars and setting appointments, database input, maintaining files, organizing documents, copying, and other clerical roles as needed
Provide meeting and event support
Work with Chief of Staff to serve as administrative liaison to the board of directors, including the preparation of reports, presentations, and data, keeping up to date meeting files, committee and attendance lists, agendas, materials to be discussed etc.
Prepare and maintain all meeting minutes for the Board and any additional meetings as required and ensure compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meeting in electronic/paper format
Provide administrative support for Community Planning Programs and Initiatives
Passport to Israel (PTI)
Facilitate the PTI program which includes enrollment/applications, Intent to Use forms, collection of funds, etc.
Record all necessary transactions in the PTI database and process any check requests.
Prepare annual statements and close/distribute funds as requested.
Guardian Society
In coordination with the CoS work to accept applications, facilitate the committee, communicate with recipients, and coordinate committee involvement/engagement.
Work with Community Planning Associate to facilitate program applications from/to funders for the Allocations process.
