Job description
We are hiring Executive Secretary Senior for one of our clients in Trenton NJ.
Job Description:
- Coordinate project/departmental workflow ensuring deadlines are met including tracking, recording process and running reports
- Answer and direct phone calls/email as directed
- Organize and schedule appointments
- Plan meetings and take detailed minutes, track attendees
- Data Entry
- Arrange/setup conference/video calls
- Write and distribute email, correspondence memos, letters and forms
- Develop power point presentation when requested
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system (electronic/physical)
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile expense reports
- Handles confidential information
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Promotes teamwork and communication to encourage an interactive, cooperative, collaborative, and
- customer-focused work environment among the division, EDA staff, and external customers.
- Performs other duties and special projects, as assigned.
Skills required:
- Strong project management skills
- Strong analytical and critical thinking skills with experience in marketing data analytics and tools.
- Strong writer with excellent communication and editing skills.
- Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator, Acrobat); Microsoft Office Suite (Word, PowerPoint, Publisher, Excel, Outlook). Proficiency in Excel is a plus.
- Ability to prioritize workload, must be highly organized, detail-oriented, handle various tasks simultaneously and work independently within limited time constraints.

- Knowledge of economic development, financial terms and state government a plus.
- Ability to communicate effectively both verbally and in writing; proficient in grammar, spelling and editing; and foster communications with business professionals and EDA staff
- Demonstrates respectful behavior and promotes teamwork and communication to encourage an interactive, cooperative, collaborative and customer-focused work environment among division, EDA staff and external customers.
- Proficient in Microsoft Office Suite and the ability to learn new software packages
Education and Experience Requirements:
- Bachelor's Degree in marketing, communications, or related field.
- Minimum five years' experience in marketing, communications, and/or research and product development field.
- Minimum two years of private sector professional experience in product marketing.
- Experience working with external vendors preferred.
- Advanced degree or industry-specific certification may be substituted for 1 year of experience
Physical Demands
- Minimal: Ability to work outside normal business hours, as needed
- Travel: As necessary to events, meetings, businesses, etc.
- Certificates and Licenses Required: Valid driver's license

Position Requirements
