You are ready to play a critical role in our Development department by maintaining the data base and facilitating best practices around the use of our Development team’s software systems.

*This hybrid position will require the staff member to be present at our Hunger Solutions Center for 3 days per week including Mondays. The anticipated schedule for onsite hours is 8am-4:30pm*

Salary range is $68,000 – $73,000 annually with full benefits including employer paid medical coverage for employees and children, dental, and vision insurance, employer paid basic life, long and short-term disability, and a company match for 403(b) retirement plans, and generous paid time off, including parental leave.

Position Summary: The Database Administrator is responsible for the overall management and oversight of Food Lifeline’s constituent relationship database Raiser’s Edge and related systems such as Greater Giving, MailChimp, MightyCause, etc. This position ensures that systems related to the fundraising department are properly used and maintained, and that accuracy and utility of Food Lifeline’s mission-critical data is secure. This position plays a critical role in facilitating ideas, cooperation and best practices around the software systems used by the Development department along with supporting the rest of the organization in best practices around their use.

Essential Functions/Major Responsibilities:

• Ensure integrity of the data by performing and/or overseeing all database administration functions, including but not limited to:

• Database maintenance, security set-up (in partnership with the IT department), quality control audits.

• Performing weekly and as-needed imports and exports of gift and constituent data from RE and related systems, such as VolunteerHub, Greater Giving, MightyCause, Mailchimp, Outlook, etc. • Performing complex import/export, reporting functions, and data/gift entry when needed.

• Facilitating pledge reminders and related reports.

• Working with the Development Assistant to ensure biographical, financial, and other data, including financial donations, pledges, in-kind gifts, events, and stewardship/cultivation activities are accurately recorded in constituent record.

• Maintaining database structure including attributes, code tables, business rules, campaign/fund/appeal records, and all other setup functions in collaboration with key decision makers.

• Accomplishing tracking and acknowledgment of matching gifts and workplace donations. • Accomplishing batch review and validation process for all gifts, including monthly reconciliation with the Finance Department.

• Collaborates with development team members to analyze and implement the department's database needs. Reconciles gift data with financial statements and distributes monthly Contributed Revenue Forecast report.

• Maintains policies and procedures that document Food Lifeline’s specific use of the Raiser’s Edge database; collaborates with subject matter experts to develop new policies and procedures and develops other user tools as helpful.

• Works with Donor Relations Manager to execute global changes, importing, and other global database functions; uses functions available in administration.

• Serves as one of the primary contacts, along with the Donor Relations Manager, as point person with Finance, and other platforms and software vendors (e.g., Greater Giving and MightyCause).

• Works with the Donor Relations Manager to produce all mail and email lists for fundraising activities including direct mail, telemarketing, major gifts, capital, events, etc.

• Trains and orients new users to donor database systems and ensures continued usage of systems by team members and collaborate with IT team to provide user access and accounts as needed and removes user access for all departing users.

• Other duties that support the overall team’s goals, as assigned.

Secondary Functions:

• Leads process/ data management and funds processing for special events as needed.

• Demonstrates a daily commitment to the mission and values of Food Lifeline. • Attends and participates in meetings and committees as required.

• Participates in other projects and performs other duties as necessary.

• Other duties as assigned by supervisor.

• Stays informed of existing and evolving industry standards, practices, and technologies, participate in local user groups, attends conferences, and maintains a broad awareness of trends in management of Development data systems.

• Support prospect research of the development team through Target Analytics

• Provides input on improving processes as needed for the Development department.

Job Scope:

• Makes budgetary recommendations for systems and technologies.

• Responsibility for planning: Makes long-range operational and strategic planning recommendations for department/functional area.

Supervisory Responsibility: No staffing or supervisory responsibilities.

Specific Job Skills:

• Expert level understanding of Raiser’s Edge, and expert understanding other Development systems such as gift processing and mass email systems.

• Ability to comfortably track tasks and prioritize work when task lists exceed available resources. Meets deadlines without supervision, and/or communicates regarding changing expectations prior to deadlines.

• Active analytical and problem-solving skills, with an innate curiosity and desire to resolve difficult questions.

• Must be proficient in Microsoft Excel and Word.

• Skilled with database queries, exports, imports and data manipulation.

• Ability to read, write, and communicate effectively in English.

• Ability to work independently and as a part of a team.

• Reliably develops positive and professional working relationships with peers.

• Ability to collaborate across departments and communicate deadlines to achieve business critical goals.

Candidate Qualifications: 

Qualifications:

• Demonstrated overall commitment to promoting and enhancing equity, diversity, and inclusion at Food Lifeline through internal operations and external programming.

• Understanding of the intersections between hunger, poverty, racial inequity, and social injustice.

• Ability to develop and maintain positive and collaborative work relationships with people from all backgrounds and experiences.

• Knowledge of Raiser’s Edge or experience with other donor relations software is desirable.

• Experience in a role that supports fast-paced data needs of an organization is preferred.

Job Conditions:

• Work is performed in an office setting with adequate lighting, heating and ventilation. Position requires patience and tact while managing multiple tasks and interacting with a variety of people. Occasional overtime related to special events or seasonal activities.

Physical Demands:

• Position requires extensive keyboarding with repetitive wrist and hand movements and prolonged periods of sitting. Frequent talking and listening including phone conversations. Requires extended periods of sitting and use of desktop computer terminal.
