Salary: The expected pay rate for this position is $31.00-$34.00 per hour. The actual pay rate offered may vary on multiple factors including, but not limited to, experience, knowledge, skills, certifications and/or location.
POSITION SUMMARY: The Lead Sales Administrator at AES USA plays a crucial role in coordinating and overseeing sales-related operations and administrative tasks. This position involves facilitating and processing sales-related tasks, ensuring the completion and approval of administrative paperwork, maintaining accurate sales and service records, and managing the sales database. While the Lead Sales Administrator does not have direct reports, they provide guidance and oversight to the team of sales administrators, ensuring streamlined operations and adherence to company standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned and are not limited to the following)
- Coordinate and oversee the entry of all contracts into CMMS (Computer-based Maintenance Management System), including rental, sales, overhaul, and maintenance contracts.
- Manage the invoicing process for customers using the CMMS.
- Oversee the generation of shipping documents and approve freight invoices.
- Coordinate the entry of quotes in CMMS on behalf of the Business Development Team and ensure its accuracy.
- Maintain and ensure the accuracy of data in EAM, invoices, sales orders, and documents.
- Provide guidance and oversight to the Sales Administrators, ensuring effective task completion and adherence to processes.
- Act as a liaison between Sales representatives and key clients.
- Assist in the development and implementation of strategies to improve sales administrative processes and customer service.
- Contact customers by phone or email to resolve queries or obtain missing information, maintaining high customer satisfaction.
- Collaborate with other departments to support sales objectives and participate in cross-functional projects.
- Uphold a professional and appropriate company image in all interactions with clients, vendors, business partners, and visitors.
- Undertake additional responsibilities and projects as designated by the Head of Business Development.
QUALIFICATIONS AND EXPERIENCE: To perform this job successfully, an individual must be able to execute each essential duty satisfactorily. - High School Diploma or GED
- Associate’s or Bachelor’s degree in related field, or equivalent work experience
- Strong communication skills (written, verbal, and interpersonal)
- Strong organization skills
- Advanced skill level with ERP/MRP system as it applies, to order entre/invoicing, etc.
- Advanced to expert skill level with Microsoft Office Products (Outlook, Excel, Access, word, PowerPoint, etc.)
- Background/Experience in GSE is a plus.

Physical Requirements : Little or no physical demands are required to perform the essential functions of the position. Work effort principally involves prolonged periods of sitting or standing to perform work tasks, with intermittent periods of stooping and walking. May be exposed to repetitive motion and vision to monitor. The employee is occasionally required to lift, push, or pull objects such as books, parts, office equipment and/or computer paper. Work is performed in an office environment, relatively free of unpleasant environmental conditions or hazards.
