Receptionist

Salary: $18-21 Per Hour
commensurate on experience
Schedule: Monday-Friday 9am-5pm
The Receptionist is responsible for greeting and directing Willows Way’s visitors and telephone calls in a professional and efficient manner. This position also performs various administrative duties which support the office and the operations of the organization.

QUALIFICATIONS
Minimum high school diploma (or equivalent) and 1 year experience in office administrative setting
CORE RESPONSIBILITIES
- Welcome and allow entry of visitors to the office and direct visitors to designated areas and notify appropriate personnel of visitor arrival.
- Answer, screen, forward incoming phone calls to the appropriate agency staff. Take and send messages as needed.
- Maintain office security by following safety procedures and controlling access to the building via the visitor monitoring system.
- Maintain key card system for building access for employees and assist in the implementation of emergency and safety drills.
- Provide administrative support for the organization’s Leadership and HR/Training team including scanning, copying, filing, bulk mailing, and assisting with project work i.e., creating manuals.
- Manage the distribution of incoming mail and deliveries.
- Maintain a safe, clean, and welcoming reception area.
- Order food/catering for meetings and track reservations for agency events.
Requirements: (Physical Ability & Skill Requirements)
- Ability to lift, push, pull or otherwise move objects up to 30 pounds in weight (Deliveries, Office Supplies) and use dolly.
- Ability to reach above, bend/stoop, use hands for pushing/pulling (Deliveries, Filing/Alphabetizing)
- Ability to read, comprehend, write and speak effectively and professionally in English.
- Ability to see and hear to greet and direct visitors.
- Basic proficiency with Microsoft Office applications i.e., Outlook, Teams, Word, Excel.
- Proficient with office machines (e.g., fax, printer, copier, postage machine, phone).
- Successfully pass all required background checks and alcohol/drug screenings for the position.
- Excellent interpersonal and customer service skills and ability to communicate with a diverse group of individuals.
