Job description

Position Summary

We are seeking a dynamic and organized individual to join our team as an Event Coordinator & Employee Engagement Specialist. In this role, you will be responsible for planning and executing a wide range of events while also developing and implementing strategies to enhance employee engagement within the organization.

  1. Event Coordination:

    • Plan, organize, and execute various types of events such as conferences, seminars, team-building activities, parties, and employee recognition ceremonies.
    • Coordinate with vendors, suppliers, and venues to ensure all logistical aspects of events are well-managed within budget constraints.
    • Create detailed event timelines, manage event budgets, and oversee event set-up, execution, and breakdown.
    • Collaborate with internal stakeholders to determine event objectives, themes, and requirements.
  2. Employee Engagement:

    • Develop and implement initiatives to foster a positive and inclusive work environment that promotes employee morale, satisfaction, and retention.
    • Organize and facilitate employee engagement activities, including but not limited to wellness programs, volunteer opportunities, and team-building exercises.
    • distribute employee surveys to gather feedback and assess engagement levels, and use the data to inform future engagement strategies.
    • Partner with HR to develop and promote employee recognition programs to acknowledge and reward outstanding performance and achievements.
  3. Communication and Collaboration:

    • Serve as the main point of contact for event-related inquiries and provide timely and effective communication to all stakeholders.
    • Collaborate with various departments across the organization to ensure alignment of event and engagement initiatives with overall company goals and objectives.
    • Communicate event details, schedules, and expectations to internal teams and external partners to ensure smooth execution.
  4. Evaluation and Improvement:

    • Conduct post-event evaluations to assess the success of each event and identify areas for improvement.
    • Analyze engagement survey results and other feedback mechanisms to identify trends and opportunities for enhancing employee engagement strategies.
    • Continuously seek innovative ideas and best practices in event planning and employee engagement to stay current with industry trends.
    • Serve as the primary backup administrative support for the Executive Leadership team as needed. 

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which would normally be acquired in a four-year college degree in Public Relations, Communications, Business or in an area related to the work being performed; one to three years of related and progressively more responsible and expansive work experience in a field related to the position including planning and managing special events; or an equivalent combination of education and experience. May require experience in word processing, database, spreadsheet, desktop publishing and/or presentation software. Position may require software specific to the operational activities of the employing unit. This position may require special licensing or certification in the field related to the area of employment.
