Wilmington Friends School, a Preschool to 12 college preparatory Quaker day school located in Wilmington, Delaware, enrolling approximately 730 students is seeking an experienced, motivated professional to provide comprehensive administrative support for the Head of School, and support for the Board of Trustees. The successful candidate for the Administrative Assistant to the Head of School will bring initiative, integrity, professionalism, and good humor to multifaceted and evolving responsibilities and will hold themselves to the NAIS Guidelines of Professional Practice for Assistants to the Head of School.
The Administrative Assistant to the Head of School supports the Head of School in the day-to-day management of school programs and operations. They will also support the work of the Board of Trustees and its standing and ad hoc committees.
The Administrative Assistant will exercise primary oversight or collaborative responsibilities for such things as:
Coordination of the Head of School’s calendar and appointments
Management of confidential files for the Head and Board of Trustees
Issue annual employment contracts and create seasonal letters of appointment for all coaching staff and all stipend letters for faculty
Coordinate the construction of the yearly all-school master calendar for all Divisions and Departments - approval process for new events; maintenance of master calendar
Attend Board of Trustees meetings in the role of notetaker; managing the calendar, materials, communications, and deliverables for the Board of Trustees and executive and standing committees
Provide support and coordination of any senior administrative searches
Oversee budgets
Support the arrangements for yearly Commencement
Annually coordinate and update staff documents and files
Greet and welcome students to school weekly, beginning at 7:30am
May be required to work evenings and/or weekends
The Administrative Assistant coordinates certain institutional projects and programs at Friends. They will support and work with the Head of School, the Board of Trustees, and the Administrative Team to prepare, carry out, and report on short and long-term projects. Responsibilities and partnerships will evolve as needed, and may include:
Assisting the Head of School in reviewing, implementing, and tracking progress on strategic initiatives
Coordinating special projects for the Head of School and the Administrative Team; also for Board of Trustees and executive and standing committees
Management of document retention policies and practices school-wide
Acts as the liaison between the Head of School and the school community
Communicate and embody Friends’ core values, including integrity, community, diversity, social justice, spirituality, and intellectual curiosity and do so with compassion, confidentiality, and good humor
Be a role model for the community by respecting, affirming, and protecting the dignity and worth of each visitor and constituent, and setting appropriate professional boundaries
Requirements for this position are as follows:
Minimum 5 years administrative support experience or equivalent, including a minimum of three years’ experience in a senior administrative or executive support role
Excellent written and oral communication skills
Flexibility, adaptability, and the willingness to pivot among different tasks
Able to provide an efficient, knowledgeable, and welcoming interface between the Head of School office and various constituents, including students, parents, faculty and staff, alumni/ae, and trustees
Discretion and the ability to maintain confidentiality of highly sensitive matters;
Proficiency in Google suite and experience in (or the ability to master quickly) school management software
Excellent organizational skills and attention to detail
Must be comfortable taking action without continuous direction
Initiative, enthusiasm, and the ability to take on and learn new tasks and projects
Bachelors degree preferred
Experience working in independent schools or in an academic environment is desirable.
