Hunt Community is seeking a Receptionist to be the face of our community and the center for basic information.
Welcome residents, vendors, staff, guests and other visitors (including public safety officials and inspectors), and operates a multi-line phone system, including prescreening and routing calls.
- Maintain logs and create new ones as required
- Daily log of important notes for shift transitions
- Visitor's log for the front desk (Important for vendors)
- Arranges for transportation services, when needed
- Accounts receivable for checks and cash
- Distribute monthly bills from accounting and collect monthly service fees
- Respond to all phone calls, prescreening calls as needed
- Sort, open, date-stamp, and distribute daily mail, identifying invoices, statements, and accounts receivable
- Prepare daily intercommunity communications for courier delivery
- Accept work orders, put into folders in reception desk in appropriate area.
- Day-to-day clerical and administrative activities
- Maintain resident's parking allocation records, notifying Maintenance/Security of changes
- Maintain resident out-of-building log and meal away credit notices and notifying affected departments
- Accept and review for accuracy paperwork from potential job applicants and forward to appropriate HR representative
- Maintain the Guest Suite reservation system including collection of payments
- Receive front desk general deliveries, maintain a log and notify recipients
- Redirect all truck deliveries to loading dock, notifying Maintenance
- Maintain phone lists of residents and staff
- Provide clerical support to departments on a limited basis
- Create and post all signs/notices/flyers as required
- Maintain organized and neat bulletin boards in the mail rooms to include the removal of expired information
- Update multiple communication systems for resident and staff communication
- Creating and maintaining employee/resident newsletter
- Other tasks and responsibilities as determined by supervisor
