New Bethlehem Programs, at the Kirkland Place for Families and Women provides 24/7 enhanced shelter, day center, and supportive services to families and women experiencing homelessness on the eastside. Kirkland Place houses 2 organizations, including the Sophia Way’s Helen’s Place, and CCS’ New Bethlehem Place shelter, which share property with Salt House Church. 

Position Description

A successful Maintenance Director will have expertise in facilities maintenance, safety, supervision, and project management. This role will lead all facility safety needs, vendor relations, and will respond to after hours facilities emergencies.

They will be part of the Program Management staff, effectively leading on tasks with King County’s Facilities and Maintenance Department, vendors, and New Bethlehem Programs staff to complete tasks. They will ensure that repairs and preventive maintenance are performed and documented for compliance with CCS and King County. The Maintenance Director role is hands-on; able to quickly change priorities to meet emergent needs. perform routine inspections of facilities and fleet vehicles and manage these assets in coordination with the Program Director. This role is involved in preparing the annual maintenance/facilities budget and will lead in monitoring expenses. They will oversee the functioning of all building systems including mechanical, electrical, fire safety, plumbing, and waste management.

Facilities Maintenance

• Lead the maintenance and repairs, delegating priorities to the maintenance and janitorial staff, and communicating to the Services team as needed.
• Keep Program Director current about issues of maintenance, cleanliness, building security and safety issues. Troubleshoot problems and propose solutions including preventative and long term maintenance plans.
• Assist Program Director to develop systems that insure regularly needed maintenance and janitorial supplies are always on site in quantities that are needed.
• Conduct annual/seasonal maintenance and security inspections. Ensure the completion of routine inspection reports performed by other maintenance staff and ensure the completion of actionable findings by engaging related staff and vendors to resolve issues in a timely manner.
• Perform and oversee a variety of maintenance tasks and ensure needed repairs, including, but not limited to: apartment turnovers, changing locks, minor plumbing issues, furniture assembly, appliance and fixture repairs, interior painting, deep cleaning, and junk removal.
• Provide support to janitorial/ maintenance staff who need vendor referrals and act as Liaison between the vendor and site staff by coordinating services.

Facilities Management:

• Lead contact for maintenance and janitorial needs of the building.
• Direct maintenance and repairs for all building systems, including security, plumbing, HVAC, roof, appliances, fixtures, grounds, and waste management.
• Assist the Program Director with preparing the maintenance/facilities needs in the annual budget, and monitor the program’s maintenance/facilities expenditures according to the budget.
• Ensure exterior of building and grounds are clean and well-maintained.
• Perform and oversee a variety of maintenance tasks and ensure needed repairs, including, but not limited to: apartment turnovers, changing locks, minor plumbing issues, appliance and fixture repairs, interior painting, deep cleaning, and junk removal.
• Respond to emergencies in the building 24/7 and perform or coordinate emergency repairs.
• Respond to after-hours calls from King County FMD and communicate alarm-related updates to key staff.
• Understand the functions of the fire control, plumbing, HVAC, electrical and security systems and maintain accurate maintenance records.
• Safeguard and manage building key and Onity key card system. Supervise staff use/possession of keys and keycards.

Safety and Emergency Preparedness:

• Ensure all sites have up to date disaster and emergency response plans, including annual plans for emergency drills.
• Lead the monthly Safety Committee and ensure building compliance with Disaster Guidelines.
• Ensure SWH staff compliance with the CCSWW Comprehensive Safety Guidelines.

Project Management and Vendor Relations:

• Direct and organize construction and renovation projects. Coordinate bids from independent contractors when appropriate, overseeing their work and delivery of services. Work closely with program leadership to coordinate project scheduling.
• Responsible for following the CCSKC’s procurement and contract process when engaging vendors, soliciting bids, negotiating pricing and overseeing the quality completion of vendor services.
• Maintain a master list for various vendors needed to maintain buildings such as landscaping, HVAC, plumbing, and security alarms. Maintain a schedule for periodic competitive bidding.

Fleet Management

• Responsible for leading the maintenanc and scheduling SWH fleet vehicle.
• Review documentation for new and existing fleet drivers, providing final approval for fleet drivers in alignment with the agency’s fleet driving policy; consulting the Program Director before denying staff driving privileges.
• Renew tabs and inspect vehicles annually.

Other Duties As Assigned:

• Conduct regular team meetings to ensure planning and reporting on all departmental activities. Foster positive communication and team work among staff.
• Provide continuing education and leadership development opportunities for staff.
• In collaboration with the Program Director, provide direction to staff to ensure maintenance and safety issues are addressed.
• Other responsibilities as directed to maintain the daily functions and needs of Catholic Community Services of King County.

Job Conditions

This position requires the employee to work in an environment where there may be exposure to blood, bodily fluids, and other potentially infectious material. Other exposures could include cleaning supplies, bedbugs, chemicals involved in pest control, paint and other materials used in building maintenance, building temperature fluctuations, dust, noise, and odors. Working conditions include interruptions, crisis response, and regular interactions with individuals who are dealing with issues of chemical dependency and/or mental illness, or are experiencing anger or frustration.

• Ability to prioritize multiple tasks, and to work independently and as a team member.
• Ability to regularly lift and carry up to 20 pounds and occasionally up to 40 pounds.
• Regularly able to perform duties as assigned.
• Able to make independent decisions and apply sound judgment in performing job duties.

• BA or equivalent work experience.
• Five (5) years prior experience in maintaining a company’s physical properties with the ability to lead and motivate others.
• P rior supervisory experience in high-volume, deadline-oriented work environment
• Exceptional customer service aptitude.
• Demonstrated facilities-related project management experience.
• Must have basic knowledge of carpentry, flooring, plumbing, painting, drywall installation and repair, and HVAC systems.
• Experience working independently, prioritizing work tasks, and following through with completion of tasks.

• Criminal history background checks are required prior to employment
• Regular access to a vehicle and ability to meet the agency driving policy standards.

Preferred Qualifications

• Knowledge of services for homeless individuals, low-income housing projects, and resources for low-income people in Seattle.
