Job description

JOB GOAL:

GENERAL JOB SUMMARY:
The Registrar is the primary custodian of student records and ensures college compliance with the student records procedure, the Family Educational Rights and Privacy Act (FERPA) and other applicable laws and regulations related to student records. The Registrar provides consultation and support to the college community on issues and concerns related to course scheduling, student information systems, and related enrollment processes and procedures. The Registrar directs and coordinates all aspects of student records and course registration in collaboration with Academic Affairs, Information Technology Services, and other responsible personnel. The Registrar analyzes statistical data on registration for use in formulating policies and future planning, and validates all data in student records that is submitted to state and federal agencies. The Registrar coordinates development of publications and other communication on registration, graduation, and related procedures, including the college catalog. The Registrar also directs preparation and issuance of student transcripts. The Registrar oversees veteran services and administration of veteran benefits and serves as a member of the division of student services leadership team.

DUTIES/RESPONSIBILITIES:

  • Maintains all student records according to established procedures and applicable laws and regulations
  • Directs preparation and distribution of term course offerings
  • Consults with and meets with students, faculty, and administrators to resolve problems and concerns related to student records, including compliance with FERPA and other laws and regulations
  • Oversees and assists with development of the annual college catalog and other official publications.
  • Maintains the college AS28s and serves as a point of contact with the Iowa Department of Education with respect to curriculum and academic policies and procedures.
  • Supervises evaluation of transfer credit from other colleges and universities and evaluation of student credentials for graduation.
  • Provides oversight of commencement activities.
  • Oversees the administration of veteran's services and benefits.
  • Participates in process to gather data for required state and federal reports, related to student records, including MIS and IPEDS, and ensures accuracy of student data.
  • Manages department budget in alignment with division of student services priorities.
  • Performs other related work duties as assigned.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.

MINIMUM QUALIFICATIONS:

  • Master's degree in student affairs, counseling, or related field plus 5 or more years of experience in student affairs in a college or university setting.
  • Three years of experience in a college or university Office of the Registrar
  • Strong knowledge of state and federal requirements related to student records maintenance
  • Strong working knowledge of information technology systems, including student information systems.
  • Demonstrated leadership ability and knowledge of trends and issues related to community college education and student success initiatives.
  • A demonstrated ability to work as a member of a diverse team.
LICENSES, CERTIFICATIONS, OR REGISTRATIONS REQUIRED:
  • Include any required licenses, certifications or registrations needed to be considered for the position.
PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS :
  • Experience in managing Ellucian (Colleague) student records systems
  • Work experience in a community college setting
