Job Summary/Basic Function:

The Executive Assistant for Academic Affairs serves as the front-of-house for academic affairs at Dickinson College. This position has primary responsibility for assisting the Provost/Dean of the College in all aspects of their work, including project management, correspondence, and coordination of multiple calendars. This role also serves to coordinate the work of the Senior Associate Provost for Academic Affairs and the Senior Associate Provost for Integrated Student Academic Success. The executive assistant must be able to communicate and maintain effective relationships with a diverse group of constituents including but not limited to faculty, the academic affairs leadership team, senior staff at the College, members of the Board of Trustees, students, families, and alumni. This person must be knowledgeable about Dickinson, and able to learn and communicate our policies and procedures while supporting a fast-paced and multi-faceted office. The executive assistant for academic affairs should have excellent interpersonal and communication skills and have the ability to work independently as well as collaboratively to support strategic initiatives of the office.

Essential Functions:

• Support the Provost/Dean of the College by providing front-of-house support, and engaging in calendaring, correspondence, event planning, travel arrangements, project management, and logistical coordination of the work of the office including but not limited to hiring faculty, arranging speakers and guests, and communicating with varied and diverse constituents; works independently and collaboratively to manage the office, schedule, and strategic initiatives of the provost/dean; provides oversight for the administrative assistant to academic affairs.
• Serves as the budget manager for the office of the provost/dean, and academic affairs accounts not otherwise distributed, included but not be limited to, budget line management and accounting, accounts payable and billing needs, monthly receipt maintenance and purchasing card reconciliation, collaboration with financial operations and other divisions as necessary, and budget monitoring and reporting.
• Provides logistical and communication support to the Senior Associate Provost for Academic Affairs, including but not limited to with calendaring, event planning, travel arrangements, and hiring adjunct and visiting faculty; work with the Senior Associate Provost on preparations for annual New Faculty Orientation and annual New Chairs' Training. Assist with preparations for academic year training for department chairs and new faculty, to include the coordination of monthly Department Chair meetings; work with the Senior Associate Provost on assignment of faculty offices.
• Provides logistical and communication support to the Senior Associate Provost for Integrated Student Academic Success, including but not limited to with calendaring, event planning, travel arrangements.

Two years of experience working at Dickinson, or a similar institution, or in a similar role may replace the required associate's degree.
