Job Description:
We are seeking a highly organized and detail-oriented individual to join our team as a Secretary. As the first point of contact for our company, the Secretary will play a crucial role in ensuring smooth operations and effective communication both internally and externally. The ideal candidate will be proactive, resourceful, and possess excellent communication skills.
Responsibilities:
- Greet and assist customers in a professional and friendly manner.
- Answer and direct phone calls promptly and efficiently.
- Schedule estimates for our estimators.
- Maintain electronic and paper filing systems.
- Assist with basic bookkeeping tasks, such as invoicing and expense tracking.
- Perform general office duties, such as ordering supplies and maintaining office cleanliness.
- Handle confidential information with discretion and professionalism.
- Take Phone Calls.
- Allocate Spending in Door Loop.
- Invoicing for our various companies.
- Picking up Checks.
- Helping with Accounts Payable.
- Running Errands (Picking up/dropping off equipment, bank, going to the DMV.)
- Picking up supplies for our mechanics.
- Filter through emails that need attention.
- Preferred experience with Quickbooks Online.
- Miscellaneous tasks as needed.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as a secretary or administrative assistant.
- Proficiency in Microsoft Office suite. (Word, Excel, PowerPoint)
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Ability to prioritize tasks and work efficiently under pressure.
- Attention to detail and accuracy.
- Professional demeanor and positive attitude.
