Basic Function and Responsibilities:
As an Operations Site lead, you will play a pivotal role in ensuring the smooth and efficient functioning of the assigned campus/site. You will be responsible for a wide range of administrative and logistical tasks to support both students and staff. Your role will encompass tasks such as student registration, communication with high school personnel, room scheduling, coordinating IT support, inventory management, and more. You will also handle inquiries and provide assistance to students, making their experience at Oakton as seamless as possible.
Characteristic Duties and Responsibilities:
- Register students for courses utilizing online and/or paper registration processes.
- Advise and assist students regarding CE& T courses and programs via incoming phone calls and walk-in visitors.
- Assist instructors with tasks such as managing class lists, making photocopies, contacting students, and addressing individual course needs.
- Serve as a point of contact for IT-related issues and liaise with the Helpdesk to address office and classroom technology needs.
- Support adult education staff with required testing for pre-registration as well as post-testing as needed.
- Maintain effective communication with high school personnel regarding school calendars, policies, procedures, and resource availability.
- Collaborate with high school personnel to schedule and coordinate the use of appropriate rooms for all CE & T classes.
- Access and utilize the student database system to support registration and class list management as well as guiding instructors in the accurate entry of grades.
- Manage the inventory of educational materials (books) and support their distribution as needed.
- Maintain an inventory of office supplies and ensure their availability for staff. Arrange for orders and replenishment with Operations Specialist.
- Coordinate transportation' services as required for document and material transportation between campuses and other high school sites.
- Maintain accurate records and compile statistics as required for the College.
- Access and utilize the student database system to support registration and class list management as well as guiding instructors in the accurate entry of grades.
- Coordinate custodial and security services with the High School staff as necessary to ensure a safe and clean environment.
- Oversee the maintenance and troubleshooting of office printers and copiers.
- Manage the placement and upkeep of signage related to Oakton classes throughout the site.
Supervision received:
Administrative supervision is received from the Manager of Operations, Continuing Education, & Training
Job Requirements: Qualifications and working conditions:
- High school education or an equivalent combination of education from which comparable knowledge and abilities can be acquired.
- One year of general office experience, student services, customer service or related area is required.
- A high level of interpersonal and communication skills and the ability to deliver services in an environment where there is an emphasis on customer service are required. Incumbent must be able to give and receive advice and opinions and interact with individuals in situations requiring sensitivity and tact.
- Ability to adapt to changing priorities and work independently. Requires the ability to mentally attend and visually concentrate on a significant amount of detailed work. Must have strong organizational and detail-oriented skills.
- Advanced word processing and intermediate spreadsheet application skills. Knowledge of Google Suite is required.
- Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experience, and to exhibit an adequate level of respect to fellow employees and the College community at large.
Additional Information: 1-2 positions needed for work in the evenings, off campus at the following locations: Niles North HS, Evanston Twp. HS, Maine East HS
Schedule - Mon-Thu 5:30pm - 10pm 19 hours per week.
Hourly - $21.59
