This position often requires lifting heavy objects and furniture to prepare for events.
Additional Information:
This position will require flexible hours, including some evening and weekend hours. The Manager will receive a housing stipend (equivalent to one-bedroom unit) and utilities within a Harvard Housing property, as well as a university issued mobile phone. This is a live-on position with after hours on-call responsibilities for GCP event management and playroom emergencies only. This position is overtime eligible. Core hours are 11-3pm M-F, however flexibility will be encouraged and maintained. Night and weekend hours will be required.

Recruit and select para-professional staff members. Conduct interviews with potential Family Programming Community Advisors (FPCAs; Events roles and Playroom Manager roles) and make hiring decisions. Complete mid-semester and yearly evaluations for team towards improvement and leadership in the community;
Manage and advise FPCA staff of 4-8 on playroom oversight, event planning procedures and staff coverage of events;
Manage and coach one Graduate Commons intern focused on research-based curriculum planning around supporting child and family development;
Develop and execute events for the Graduate Commons community while collaborating with Program Manager team and Faculty Directors as needed;
Work collaboratively to plan and develop welcome and signature programming, basing content on resident demographics and needs;
Plan and lead (bi-weekly) FPCA staff meetings; including creation of a training plan for the FPCA Team;
Operate and maintain programming and playroom budgets as defined by the leadership of the Graduate Commons Program;
Encourage resident participation in all Graduate Commons events and create opportunities for resident engagement with staff, faculty, and community advisor team;
Manage logistics and supplies for all Family Graduate Commons events, including event calendar creation, assigned closet, and registration in the Ungerboeck system;
O versee two common rooms and supply closet organization in support of all GCP events and community advisor staff
Evaluate effectiveness of programming efforts and adjust plans as needed based on assessment and feedback.
Able to work independently and as part of a small team, demonstrating transparency, clear and concise communication, and detail-oriented planning and organization skills to support the many events that we hold.
Playroom Management:
Manage and routinely oversee the operation of the playrooms at Peabody Terrace, 10 Akron, One Western Avenue and Soldiers Field Park with support from HUH Property Management;
Coordinate swipe access card activation with GCP Associate Director/Director;
Supervise and support Playroom Mangers in tracking playroom membership, communicating with members, organizing, and hosting orientations and playroom clean-ups, and developing programming and community building efforts;
Maintain accurate records of membership and participation in required membership duties and verify deposit returns for each membership term (July-December; January- June);
Ensure rules and policies are followed and respected by all playroom members. Support members to diplomatically resolve peer-to-peer conflicts and report any membership violations.
Work with Associate Director and Director to review playroom policies, in collaboration with HUH Operations;
Maintain inventory of toys, supplies, and furniture for all playroom spaces and update/expand as needed, selecting items to promote inclusion, accessibility, and educational/developmental content.
University Collaboration and HUH/GCP Teamwork
Collaborate with entire program manager team on day-to-day operations and GCP-wide projects;
Research ideas and develop/execute programming based on Faculty Director input;
Coordinate collaborations and space usage with campus partners, especially school-affiliated parent/caregiver groups, Harvard’s Students’ Spouses and Partners Association, and Harvard Child Care Centers;
Serve on University committees and assist with the development of University-wide programming as needed, representing GCP across all graduate and professional schools (i.e. Grad Fest, Grad Circle, Admit Day, Safety Committee, etc.);
Develop content for weekly newsletters and maintain mailing lists;
Co-lead GCP social media campaigns with program manager team;
Maintain a close relationship with HUH Leasing and Property Management offices.

Job Summary:
Under the leadership of the Associate Director of the Graduate Commons Program, the Family Program Manager will promote resident involvement through the development of dynamic programming for
Residents and their spouses, partners, children, and other family members living within Harvard University Housing properties. The Family Program Manager will also manage Harvard University Housing’s four community playroom facilities, including membership processes, programming, and daily operations.
The Family Program Manager will manage, develop, and implement programs that promote resident engagement, with a focus on supporting children and caregivers and creating opportunities for inclusive interactions through intellectual, cultural, social, and recreational activities. Events will support caregiver and student-parent wellbeing; cultivate a strong sense of community; demonstrate a commitment to diversity, inclusion and belonging; and connect residents to campus and community resources. The Program Manager will use assessment data to enhance existing programs and identify new programmatic opportunities to advance the program goals and mission.
