Job description

This position supports the administrative team in carrying out the mission of TSS, with increased productivity in the strategic and operational priorities of Mountain Academy. The role involves actively fostering relationships with faculty, families, and students at the Mountain Academy Jackson Campus, as well as working with various individuals within TSS to establish a cohesive communication system within the organization.

Responsibilities:

Office Manager:

Work in coordination with faculty and staff to ensure administrative systems, as detailed in the IS Handbook and TSS operations manual, are followed correctly.

Responsible for ensuring certification records for all supervised staff are up to date and maintained.

On-call for student injuries and illnesses, grounds emergencies, and last-minute staff changes.

Contribute to the distribution of internal and external communications.

Answer and direct phone calls in a professional manner, greet and meet individuals coming into the office.

Create and manage a system for daily school-wide attendance.

Create and maintain all dismissal/end-of-day student destination lists and communicate changes to Staff and Faculty as needed.

Maintain ongoing communication with TSS divisions - Property management, IT, Finance, Communication, HR, Development.

Coordinate transportation and work as a liaison with contracted transportation companies as directed.

Act as a point of contact for visitors to campus.

Coordinate with MA-TVC Office Manager, sharing information as necessary to enhance the operation of the campus.

Maintain office efficiency by planning and implementing office operational systems, layouts, and equipment maintenance.

Manage delicate information with integrity and confidentiality.

Other duties as assigned by the Associate Head of School/Head of School.

Administrative Support:

Provide administrative support to the Head of School.

Act as a communication liaison between HOS and Faculty.

Collaborate on the creation of parent and teacher/staff calendars.

Community Engagement:

Attend required school & community events.

Participate in teacher weeks and professional development days.

Attend all staff meetings.

Coordinate and take a leadership role in MA-JC community events.

Support admissions and community building at the school.

Qualifications:

Bachelor's Degree Preferred

Familiarity with Microsoft Office products and Google Apps

Ability to effectively communicate with internal and external constituents at the direction of the Associate Head of School/Head of School.

Ability to manage risk and inform leadership to assist in decision-making.

Ability to manage multiple tasks with frequent interruptions, prioritize tasks as needed, and communicate effectively with the Associate Head of School/Head of School.

Ability to make decisions with both long-term and short-term scope at the direction of and in coordination with the Associate Head of School/Head of School.

Working Conditions & Physical Requirements:

Able to write/type/communicate

Primarily indoors in an office setting: sitting and standing for long stretches while using a computer

Able to sit/stand at a desk for up to 8 hours

Normal range of vision/hearing/speech

Able to bend/stoop/reach and lift up to 50 pounds

Primarily based at Jackson Campus of Teton Science Schools with potential meetings/interactions/work on all campus locations
