Jefferson County is one of the largest counties in Colorado and is located just west of Denver in the foothills of the Rocky Mountains. The County building is located in Golden, home to the Coors Brewing Company, the National Renewable Energy Laboratory, and the Colorado School of Mines. It is a 20-minute drive or 35-minute train ride from downtown Denver.
About the County Manager’s Office:
The County Manager is responsible for the administration and management of all assigned departments and divisions and directs the flow of information and advice from department and division directors to the Board of County Commissioners. The County Manager coordinates county resources to accomplish the objectives and direction of the Board of County Commissioners.
As part of the County Manager’s team, the Executive Assistant provides high level support for the County Manager and is responsible for performing multiple complex administrative duties, including scheduling meetings, operating virtual and hybrid meetings, coordinating work tasks, and acting as the gatekeeper of all details and processes. This role establishes strong relationships across the county and coordinates regularly with Department and Division Directors, the Board of County Commissioners (BCC), Elected Officials and other local, state and federal government agencies, key stakeholders and constituents. Participates in the County Manager’s Leadership Team, supervises staff, assists with annual budget, monitors expenses, and handles a wide variety of difficult and confidential situations.
The Ideal Candidate:
The Executive Assistant is responsible for providing a high level of strategic support, coordination, and communication in support of the County Manager’s office. With significant autonomy, the Executive Assistant serves as secretary for department meetings, coordinates work tasks, grants document access, monitors expenditures, responds to audit inquiries, and monitors monthly budgets.
The ideal candidate must have the proven ability to move between diverse tasks with ease and must thrive in a fast paced and dynamic environment with constantly evolving priorities, keeping track of deadlines, prioritizing, and anticipating needs. This person must be proactive and relentlessly detail oriented. The position requires dealing with information of a highly sensitive and confidential nature making trust and integrity cornerstones of this position. The candidate must use confidentiality and discretion in all actions to develop and maintain trust and integrity of the office, using independent judgement and self-direction.
Schedule : This position works on-site, in office at the County Manager’s Office in the Administration & Courts Facility in Golden, CO.
Hiring Range: $75,000 - $85,000 USD Annually
Compensation will be determined based on education, experience and skills.

Essential Duties:
Represents the County Manager through interactions with the Board of County Commissioners (BCC), Elected Officials, Department and Division Directors, county staff, state and local government partners, and community leaders. Serves as a liaison between the County Manager’s Office with internal and external organizations.
Ensures accuracy and professionalism of the office’s work products, including agendas for BCC Public Hearings, staff briefings, and County Manager meetings, formal and informal meeting minutes, emails, verbal communications and instructions, and correspondence from staff and County Manager.
Accurately interprets, records, and tracks follow-up on action items directed by County Manager and BCC.
Manages the County Manager’s calendar and schedule. Solves scheduling conflicts and ensures the appropriate information and materials are available for meetings and decision making.
Effectively disseminates information and directives from County Manager.
Prepares correspondence, contracts, presentations, and notices as requested by the County Manager and required by the BCC’s actions. Maintains the office website.
Oversees office financial functions by monitoring all expenditures and budget. Ensures all transactions and statements are documented. Confirms account coding is accurate. Processes purchase requests and documents all account charges.
Uses Microsoft Office applications for data entry, word processing, spreadsheet and/or file maintenance to prepare correspondence, reports, etc. and to enter, store and/or retrieve information.
Supervises staff in area of responsibility. Administers and makes recommendations for routine personnel matters affecting subordinates, including recruiting, interviewing, hiring, training, assigning, scheduling, granting leave, appraisals, and taking corrective action. Conducts performance evaluations and communicates short- and long-term goals and objectives. Submits personnel records and reports as required by the County. Assists and advises subordinates as necessary, resolves problems as non-routine situations arise, and ensures adherence to established policies, procedures, and standards. Communicates directives and expectations to direct reports.
Provides advanced administrative support and manages daily office operations.
Reviews and manages County Manager emails, flagging items of importance, those with deadlines, and any required for situational awareness. Responds to emails on behalf of County Manager when appropriate.
Responds to public questions and comments, diffuses situations with respect, disseminates accurate information.
Other duties and responsibilities as assigned.
Qualifications:
Minimal Qualifications:
HS Diploma or GED
Plus, a minimum of five years of experience.
OR any combination of education and experience.
Preferred Knowledge, Skills and Abilities:
Associate’s degree highly preferred

Computer skills, including the ability to utilize Microsoft Office suite (i.e. Word, Excel, PowerPoint, Outlook, Teams, SharePoint etc.) and experiment with new software and systems
